    QA Permissions

    QA permissions specify the authorizations for the execution of Good Manufacturing Practice (GMP)-critical functions, such as the changing of lot data, the release of test orders, or the release of production orders.

    Each of the activities can be allowed or blocked for either a user/security group (User ID) or a permission set; only one can be set per line. To authorize a specific user/security group or permission set to an existing activity, add a new line with the same Action Type and then specify the User ID or Permission Set. This allows you to prohibit an action for the permission set of a user (so all users of the security group or all users assigned with the permission set are not allowed to do it) but additionally allow the action for a single user that is related to the permission set.

    When choosing which permission to use, the system prioritizes the specific settings over the general settings. Therefore, the single user setup takes priority over the security group or permission set. For example, if "User A" is set up to allow a status change from "Quarantine" to "Released" but the permission set they are assigned to is blocked, they will be allowed to change the status but all other users assigned to that permission set will not be allowed to change it. The actions can be further restricted based on item/variant and item categories.

    To set up Quality Assurance permissions

    1. Choose the Lightbulb that opens the Tell Me feature icon, enter QA Permissions, and then choose the related link.
    2. Choose the New action.
    3. In the Action Type field, enter the type of lot data change that can occur, including Status, Expiration Date, Entry Date, External Lot Number, Quarantine Date, Retest Date, and Warranty Date.
      Furthermore, authorizations can be defined for the change of Lot Number and Serial Number; the release of a Test Order; the release of a Production Order; and the certification of a Stability Test.
    4. Choose to validate by user/security group or permission set:
      • In the User ID field, enter the user or security group for which this data record is validated. If this field is empty, the setting applies to all users/security groups.
      • In the Permission Set field, enter the permission set for which this data record is validated. If this field is empty, the setting applies to all permission sets.
    5. In the Item No. field, enter the item for which this data record is validated.
    6. In the Variant Code field, depending on the item, enter the item variant for which this data record is validated.
    7. In the Item Category Code field, enter an item category for which this data record is validated.
    8. In the From Status / To Status field, define which status changes can be executed if the Action Type field is set to Status Change.
    9. Select the Allowed checkbox if the specified changes can be executed in the data record.
    10. Go to the next line to add another QA permission.
