Prototype Item in Sales Line
A prototype for a finished good item can be entered directly in the Sales Quote or Sales Order line. Therefore, the Formula Value of the prototype item's attributes must be entered in the Item Card because when requesting the Master BOM to the Document BOM/Construction Order, the designated attributes on the sales lines will be calculated first.
When a prototype item is entered on a sales line, and an existing item is found, the Master BOM will not be recalculated. The Document BOM or the Construction Order that is linked to the found prototype item will be copied. The Document BOM or Construction Order information can be found in the Prototype BOM Type and Prototype BOM No. fields on the Item Card.
Example – Use Prototype Item in Sales Quote
In the following video, a prototype item has been created for the Conveyor Machine based on the power entered in the Document Checklist. A placeholder for the POWER value was added to the item description and the POWER variable was added to the Item Attributes with the Relevant to Prototype checkbox selected. The Prototype No. Series is specific to this item, so that if a new item is created, it will use the same item number with an extended incremental number, e.g., D-1000-0001, D-1000-0002, and so on.
No additional setup has been done in the Master BOMs or Checklist Templates (see the example in Prototype Items in Master BOMs for information about the base setup).
A Sales Quote has been created for this prototype item. In the Document Checklist, the power value of 90 is entered. The Run Configuration Automatically action is run and the prototype item in the sales line is replaced with a new item (D-1000-0001). The placeholder in the Description fields is updated with the power value of 90. The Sales Line Attributes have also been updated with the power value. In the Item Card, the Created from Prototype field is set with the original prototype item and the Prototype BOM field indicates the Document BOM number that the prototype was created from.
Another sales quote is created and a power value of 90 is entered again in the Document Checklist. When the Run Configuration Automatically action is run, the prototype item is replaced with the existing item D-1000-0001 created in the previous sales quote because it matches the power specification. In the Item Card, the Created from Prototype and Prototype BOM fields are set with the prototype item and Document BOM from the previous sales quote.
Finally, another sales quote is created and the default power value of 100 is used in the Document Checklist. When the Run Configuration Automatically action is run, the prototype item is replaced with a new item (D-1000-0002) because no existing item matches the power specification. In the Item Card, the Created from Prototype field is set with the original prototype item and the Prototype BOM field indicates the new Document BOM number that the prototype was created from.
Reuse Prototype Configuration in Document BOM/Construction Order
When a prototype item is used in a sales line, the system checks if an existing item matches the entered attribute values. If a matching item is found, it is reused; otherwise, a new item is created based on the prototype.
You also have the option to reuse the prototype configuration when working with the Document BOM/Construction Order for a sales line item or variant created from a prototype.
The reuse dialog opens only when all of the following are true:
- The sales line Type is Item and the No. field is filled.
- The item or variant on the sales line was created from a prototype:
- Item Card has Created from Prototype field filled.
- Prototype BOM Type and Prototype BOM No. are set (source can be Document BOM or Construction Order).
- The referenced Prototype BOM exists and is accessible.
Note
These fields are normally set automatically by the prototype process.
Open the Document BOM (or create it from the sales line) for an item or variant that was created from a prototype.
The reuse dialog opens, asking whether you want to reuse the prototype configuration linked to the item/variant. Choose the:
- Yes button to reuse the prototype configuration, which means:
- The prototype source is copied into the sales line's Document BOM:
- If the source is a Document BOM, it's copied into the current Document BOM.
- If the source is a Construction Order, it's copied into the current Document BOM.
- Existing Document BOM lines for the sales line are overwritten by the copied content.
- The system updates dimensions, recalculates price/discounts, validates quantity, and saves the sales line to reflect current pricing and rules.
- The prototype source is copied into the sales line's Document BOM:
- No button to proceed with creating a new configuration from the Master BOM as before.
Important
The reuse function overwrites any existing Document BOM on the sales line. If you need to keep manual changes, choose the No button.
