Replace/Exchange Drawings - Search
Note
For version 5.0 or higher, see Search for Drawings or Items.
Each drawing of a type may only be assigned to an item (and automatically to a BOM) if this drawing has a valid status. If a change is made, the drawing can be exchanged. However, the user must note that they have set the old revision status to not valid (see Drawing Statuses).
To change drawings, use the Search action to get an overview of the current uses of the drawing. To do this, select a drawing in the Drawings list and then choose the Search action. This opens the predefined Drawing Search page, in which the documents assigned to the drawing are immediately displayed.
Alternatively, choose the icon, enter Drawing Search, and then choose the related link.
Drawing Search Page
In the Drawing Search page, both the related records and their number is displayed. For a detailed check, the No. of Records field can be used, as with the items, to open a list of all records with their related number, in which a change can be made. This can be done manually or in all records by choosing the Replace action on the Process menu.
The fields in the top of this page are described in the following table.
Field Group | Field | Description |
---|---|---|
Options | Incl. Finished Documents | Specifies whether records related to documents should be searched for, where drawings may not be replaced. If turned on, those documents with the status Completed, Closed, or similar finished or archived statuses are also listed when executing the Find function. |
Drawing | Drawing No. | Number of the drawing to be searched for or replaced. |
Drawing Type Code | Code from the drawing types; used to display the drawing type. | |
Revision Code | Drawing number, which must be reassigned. Also contains the code of the drawing type. | |
Include Empty Revision Code | In case of an empty revision code, determines if only drawing records with an empty revision code should be found. | |
Replace with | Drawing No. | Drawing number, which must be reassigned. Also contains the code of the drawing type. |
Revision Code | Revision code of new drawing. |
Note
Instead of replacing drawings, you can delete them from the Drawing Sets by clearing the Drawing No. and Revision Code fields.
The fields in the lines section are described in the following table.
Field | Description |
---|---|
Table ID | Specifies the table where the drawing set entry has been found. This field is not shown by default. |
Related Tables | Specifies the name of the table where the Drawing Search facility has found records with the selected drawing. |
No. of Records | Specifies the number of records that the Drawing Search facility has found in the table. |
Important
The drawing to be replaced must not have a status that is set as Valid. However, the drawing that will replace it must have a status that is set as Valid. Only then an exact exchange can be carried out.
