Reset Accounting Status for Re-invoicing

Due to the long invoicing processes used in construction, there may be times when you need to make changes during or after (un-posted) invoice creation. In these cases, the Accounting Status needs to be reset in the measurement lines for inclusion or exclusion in an invoice. The Reset Accounting Status function works with the Filter Measurements page, which shows only the measurement lines that are available for invoicing.

Some scenarios that will require the use of the Reset Accounting Status action are:

  • During creation of a Down Payment from an Invoice Plan: after running the Calculate Measurement function if you want to re-calculate the measurement value with different filters.
  • During invoicing preparations in sales orders: after running the Take Over Measurements function if you want to re-run it with different filters.
  • After creating the un-posted invoice: you realize some of the measurements should be excluded or you need to create a new invoice with other measurements, you need to delete the invoice, run the Reset Accounting Status function, and then create the new invoice with different filters.

To ensure that measurement lines from multiple sales orders or lines that have been assigned to an invoicing plan are not erroneously included in new construction invoicing, the Filter Measurements page allows you to choose measurement lines. This page will be empty if there are no measurement lines available for selection (i.e., all measurement lines have Accounting Status = Planned). In this case, you can use the Reset Accounting Status action from the Measurement Lines page to allow selected lines to be reset (Accounting Status = <Blank>) and, thus, available for re-invoicing.

The Filter Measurements page opens during the following processes:

  • Construction Invoice Plan Sales > Invoice Plan Lines FastTab > Process menu > Calculate Measurement
  • Sales Order > Related menu > Construction Invoicing menu > Create Part Invoice
  • Sales Order > Home menu > Take over Measurements

In the Filters FastTab, you can filter measurement lines based on measurement number, page number, and location.

After filtering available measurement lines, choose the OK button to transfer the measurements to the Construction Invoice Plan Sales line, Sales Order line, or Part Invoice line.
