Tracking State Posting
Tracking State Entries record any changes to critical lot or serial number information, such as External Lot No. In particular, the status of a lot/serial number can change multiple times over its lifetime. As a result, the traceability of the base application (such as item tracing) is extended to include these modifications alongside inventory-affecting transactions that are posted as Item Ledger Entries.
Transition from Legacy to New Posting
In the Quality Assurance Setup page, choose Show more in the General FastTab to access the Use Legacy Tracking Status Posting field:
If turned on, the existing method is used, in which any change to lot/serial number status results in an item transfer (i.e., a new Item Ledger Entry).
If turned off, the improved method is used, which creates a Tracking State Entry using a journal rather than posting item transfers for simple status changes. Item transfers will still occur if more than just the status is changed (e.g., lot/serial numbers, expiration dates, etc.). This improves performance when using serial numbers or large numbers of lot numbers.
Important
Once you turn off the Use Legacy Tracking Status Posting toggle, you cannot revert to the legacy posting method.
Upgrade
When upgrading to the COSMO Quality Assurance version (7.0 or later), the legacy posting will still be applied; however, this option will be removed in a future version.
Recommendations
- Transition to the new method as soon as possible to benefit from performance improvements.
- Ensure compatibility with dependent applications before making the transition (e.g., COSMO Advanced Manufacturing Suite must be at version 10 or higher).
Post Entries for Closed Item Ledger Entries
When the Use Legacy Tracking Status Posting toggle is turned off, you can use the Post Tracking State Entries action to post Tracking State Entries for closed Item Ledger Entries. This action is not mandatory but may be necessary for reporting and statistics based on the Tracking State Entry history. To access the action, choose Actions > Functions on the Quality Assurance Setup page.
New Installations
Only the new posting method will be available for new installations of COSMO Quality Assurance.
New Posting Usage
Users will still manage the modifications to sensitive tracking information using the Lot/Serial No. Administration page.
In general, the only difference you will encounter is that instead of finding all QA changes in the Item Ledger Entries, you will access them in the Tracking State Entries.
In the Item Ledger Entries, all QA fields will continue to be updated when a status change is posted. The key difference from the legacy to new posting is that instead of creating a new Item Ledger Entry for every type of QA change (such as status changes that could be done multiple times for a lot/serial number), those QA fields are only updated in the existing Item Ledger Entry while the complete changes are stored in the Tracking State Entries.
Therefore, most changes you make in the Lot/Serial No. Administration page will add a new Tracking State entry and update the existing open Item Ledger Entry. Only in special cases, such as a lot split or a reclassification, does the system create new Item Ledger Entries.
Note
COSMO Quality Assurance does not support status updates to Package Nos., which means that no package numbers will be passed to the Tracking State Journal, even though the Package No. field is available in the Tracking State Entries page.
The Tracking State Journal is not intended for end-user use. While it can be used to post updates to Lot/Serial No. Status and related details, it offers fewer features than the Lot/Serial No. Administration page. It exists solely to meet Microsoft policy requirements.
Initialization Entries
Tracking State Entries are based on existing Lot/Serial No. Information records, and initialization entries will be created automatically when new Lot/Serial No. Information is generated. Triggers for posting initialization entries include changes to test order statuses of purchase order type changes from "Created" to "Value Recording" and postings from items (in the case of positive adjustments).
Status Change Entries
When a status change is posted, it updates the QA fields on the Item Ledger Entries and the corresponding Lot/Serial No. Information records.
Only new values are posted as Tracking State Entries; if no different new values are specified, the entry will not be posted.
Warehouse Posting
If a partial lot quantity is posted from the Lot/Serial No. Administration page, the system defers to the legacy routine, which posts an item transfer in addition to updating warehouse movements.

Tip
Both posting types will be available in parallel, but only one can be applied at one time. Therefore, all Tracking State... pages can be found using the Tell Me feature but can be opened only when the Use Legacy Tracking Status Posting toggle is turned off.
