Split Rental Lines

With COSMO Rental you can rent more than one item per line. Normally, all items will be rented for the same period of time and from the same location code. But sometimes is it necessary to split the lines afterwards, for example, because:

  • a sub-quantity will be rented from a different location.
  • a sub-quantity will be treated as a 3rd party rental.

You can split Rental Item/Machine lines in Rental Quotes, Rental Reservations, and Rental Contracts. The function is not available for Rental Rate Components and Sales Positions, however, splitting the Rental Item/Machine affects the former.

It is not possible to use the Split function if:

  • an open Transfer Order or Item Journal exists. You must delete the Transfer Order/Item Journal and then can continue splitting the line.
  • all quantity to split has shipped. You cannot split the line if it was completely shipped.

Split Rental Line Page

The Split Rental Line dialog page has two FastTabs that show the existing line formation and the new line information. Once a new quantity is entered, the Qty. to Ship field in the New FastTab is updated to match the value in the Split Line Quantity field.
After closing the Split Rental Line page by choosing OK, a new line is entered in the Rental document for the amount entered in the Split Line Quantity field.
If the Rental Item/Machine is serial-tracked, an additional field is available in the New FastTab. The Selected Serial Nos. field shows how many serial numbers have been assigned to the new Rental Item/Machine line to be created.

To split a rental line

  1. Open the Rental document.
  2. Select the Rental Item/Machine line to split.
  3. On the Lines FastTab, choose Line > Functions > Split Line.
    The Split Rental Line dialog page opens.
  4. In the Split Line Quantity field, enter the number of Rental Items/Machines that need to be split from the existing line and added to a new line.
    If the selected Rental Item/Machine is serial-tracked and already has assigned serial numbers, choose the ellipsis (...) in the Selected Serial Nos. field to open the Serial No. Selector page where you can select the serial numbers for the quantities to be split. The Select Split Line Quantity function will select as many serial numbers from the beginning as the quantity entered in the Split Line Quantity field. Choose the Close button.
  5. Choose the OK button.

The results are:

  • The quantity in the first line is reduced by the entered quantity.
  • A new line is created with the entered quantity.
  • All settings and information from the first line are taken to the new line.
Note

The same applies to all Rate Components attached to the original line: the new line - and consequently the original line - quantity is also regulated by the quantity entered in the Split Line Quantity field. The Rate Components are split in proportion to the quantities of the new and original lines. If the split does not result in a whole number - this can occur if the Rental Item/Machine and the associated Rate Component quantities differ - a warning will appear.

Example

A Rental Quote was created for 10 pieces of an item. After the Rental Contract was created, you realize that you need to ship four of the items from a different location. With the line selected, you open the Split Rental Line page, enter 4 in the Split Line Quantity field and then close the page. A new line is added to the Rental Contract for a quantity of 4 and you change the Location Code to the new rental location.
