Checkout (Lock) Master BOMs and Checklist Templates
To prevent multiple users from making changes to master BOMs/versions and checklist templates/versions simulataneously, a checkout process can be implemented.
Once a user changes the master BOM/checklist template status, it will be locked until the user sets the status back to Certified or Closed. Apart from the user that changed the status, the only user(s) that will be able to reset the status will be a designated checkout administrator, who has the ability to take ownership of the checkout process. This is helpful when the user who locked the master BOM/checklist template is unavailable.
Setup
To implement the checkout process, you must first designate the users who will have the administrative rights to take ownership of the checkout and then you can activate the checkout requirement of master BOMs and checklist templates.
Designate Checkout Administrator
- Choose the
icon, enter User Setup, and then choose the related link. - Locate the user to be desigated as a checkout administrator.
- Select the Checklist Template Administrator or Master BOM Administrator checkbox.
- Repeat steps 2-3 for other users that need to be designated as one, the other, or both.
Activate Checkout Requirement
- Choose the
icon, enter Configure to Order Setup, and then choose the related link. - Expand the Construction FastTab.
- To require the checkout process for checklist templates, turn on the Checklist Template Checkout toggle.
- To require the checkout process for master BOMs, turn on the Master BOM Checkout toggle.
Checkout Process
Once checkout processes have been activated, any user with editing access will be able to change the status of a Certified or Closed master BOM or checklist template and set it to New or Under Development and begin making changes. All other users will be prevented from making changes, including deletion, with an error message that states the ID of the user who has checked out the document. Once the user changes the status back to Certified or Closed, the master BOM or checklist template is no longer checked out and can be checked out by another user.
Administrative Override
If a situation arises in which a checked out master BOM or checklist template needs to be certified and the user who checked it out is unavailable, any of the designated administrators can override the checkout process by opening the master BOM or checklist template, choosing the Take Ownership action, and then changing the status as needed.
