    Item Tracking

Item Tracking plays a central role in Repair Orders – especially when serialized or lot-controlled items are returned for service.

The repair process requires traceability of the:

    • original item that was returned
    • components used during repair
    • repaired item (new or reused)

    Key Mechanisms

The key mechanisms of item tracking are described in the following sections.

Serial Number Capturing from Service Item Worksheet

When the customer return is registered in the Service Item Worksheet, the user selects the return item and assigns a Serial No. (either manually or via lookup).

    • This Serial No. is automatically transferred to the Service Line.
    • It is also included in the Item Tracking Lines of the generated Sales Return Line.
    • A reservation is created between the return line and the Service Line, ensuring consistent traceability.

    Transfer to Construction and Production

When the Service Line is converted to a Construction Order, the Serial No. remains linked to the repair component.

    • This tracking data is transferred into the Construction Line, and then to the Production Order.
    • During material consumption and output posting, the Serial No. continues to flow through the:
      • Production Order Line
      • Production Journal entries

This ensures the repair process always references the original returned item.

Link to the Repaired Item and Service BOM

    • The Serial No. of the original component is preserved in the tracking entries.
    • When the Service Line for the new repair item is posted (i.e., Service Shipment), the system:
      • Evaluates the tracked components used during production.
      • Updates the Service BOM based on Construction Line logic and Spare Part Action (DM).
      • Assigns the correct Serial No. to the new repair item, ensuring end-to-end traceability.
    Note

The Service BOM is not updated during production posting. Instead, it is finalized when the Service Shipment is posted.
This guarantees that only the actually delivered components (with tracking) are documented as part of the as-repaired configuration.

    Tip

All tracking behavior follows standard Business Central Item Tracking logic and is fully integrated with the Construction Lines and Service BOM mechanisms in COSMO Discrete Manufacturing.
