Service BOM Archive

The Service BOM Archive provides versioned snapshots of BOM structures and attributes, enabling reliable traceability across the service lifecycle. Archiving Service BOMs captures a tamper-proof history of header, lines, and attributes (header and line) for auditing, root-cause analysis, and compliance. With Service BOM archiving, every service-relevant change is preserved as a version, ensuring consistent knowledge transfer and decision support.

Create an Archive

Archives can be created:

manually from the Service BOM page.
automatically during service shipment if activated in Configure to Order Setup.

Manual Archive

To create an archive manually

Open a Service BOM.
Choose the Archive Document action and then choose the Yes button to confirm.
Choose the OK button to close the confirmation message.
A new archive version of the Service BOM is created with the following information in the Archive Information FastTab:
- Created by User ID – user who created the archive
- Created on Date/Time – timestamp of archive creation
- Triggered by – Manual

Automatic Archive

To enable automatic archiving:

Open the Configure to Order Setup page.
In the General FastTab, turn on the Autom. archive Service BOM toggle.
When posting a service order shipment that adds or replaces components in the Service BOM, the system creates an archive snapshot automatically with the following information in the Archive Information FastTab:
- Triggered by – Automatic
- Service Shipment No. – document numner of the service shipment that triggered the archive creation

View Archived Versions

To view archived versions of a Service BOM:

Open a Service BOM and then choose the View Archive action.
The archive list shows one row per archive version with creation and trigger details.
Select a version to open the Service BOM Header Archive page.

Tip

You can access a list of all archived Service BOM by searching for Service BOM Archives using the Tell Me feature.

Service BOM Header Archive Page

The Service BOM Header Archive page displays the archived snapshot of the Service BOM header and its lines at the time of archiving. The fields in the Archive Information FastTab provide context about the archive creation.

The Attributes (DM) action in the header provides access to archived header attributes; while the Attributes (DM) action on the Archived Lines FastTab provides access to attributes of the selected archived line. This ensures that both header-level and line-level attributes are preserved and can be reviewed for each archived version.

Delete Archived Versions

Archives are immutable by default. The archive list does not allow deletion.

If your organization requires deletion, use a controlled "Delete Archive" process that removes header, line, and attribute archive records for the same Document No. and Version No. (subject to internal policy).
