    Submit and Reopen Recorded Time Entries

    After time has been recorded, it is submitted and then processed based on the time approval process. The tasks after entering time include submitting, reopening, and re-submitting if rejection during the approval process. After approval, the approved/posted entries remain visible for review.

    Submit Time Recording

    Depending on your business process, you can submit time daily or weekly or even per line. Once submitted, the posting is handled based on the Time Sheet Approval process. Submitting your time updates the Status to Submitted. Already submitted lines will not be re-submitted.

    To submit time daily

    The are multiple ways to submit daily time recording entries:

    • Select all lines and then choose Submit on the Manage menu in the Lines FastTab.
    • Select various lines and then choose Submit on the Manage menu in the Lines FastTab.
    • With the Period Type field set to Day in the General FastTab, choose Submit on the Home menu.

    Regardless of the method used, the general steps are:

    1. Ensure all time is entered for the day.
    2. On either the Home menu or Manage menu, with or without lines selected, choose Submit.
    3. Choose the Yes button to submit the open lines or the No button to stop the submission process.

    To submit time weekly

    1. Ensure all time is entered for the week.
    2. In the General FastTab, change the Period Type field to Week.
    3. On the Home menu, choose Submit.
    4. Choose the Yes button to submit the open lines or the No button to stop the submission process.

    Reopen Submitted Time

    Submitted lines can be reopened at any time, for all or selected lines.

    1. On either the Home menu or Manage menu, with or without lines selected, choose Reopen.
    2. Choose the Yes button to reopen the submitted lines or the No button to stop the reopen process.

    Re-Submit Rejected Time

    If the time entry approver rejects submitted time, the Status field will be set to Rejected and shown in bolded red. The Reason for Rejection field indicates the rejection code to provide further information.

    1. In the Lines FastTab, select the rejected line.
    2. On the Manage menu, choose Reopen.
    3. Make the necessary changes to the line.
    4. On the Manage menu, choose Submit.

    View Approved and Posted Entries

    Approved time entries are visualized in the Lines FastTab with the Status field = Approved.

    Once posted, the following fields are updated in the time entry lines (shown with Personalize feature):

    • Posted checkbox = selected
    • Posted Quantity field = populated with the time entry quantity
