    Pre-Orders

    The pre-orders feature is used in Construction Orders to identify raw material items with long lead time that need to be ordered or purchased before the items are added. Existing reservations of the pre-order lines will be transferred to the actual items in the Construction Order when they get assigned to the pre-order lines.

    The pre-order lines are excluded in Calculations (from COSMO Calculation) as well as when Production Orders are created from the Document BOM or Construction Order.

    Setup

    In the Master BOM, Document BOM, and Construction Order line, the Pre-Order checkbox controls the designation as a pre-order item. If defined on the Master BOM line, it will be transferred to the Document BOM and/or Construction Order line but can be changed as needed.

    Processing Prerequisites

    The items marked as Pre-Order need to be ordered and available as well as reserved against the Construction Order line. Therefore, the Shipment Date and Due Date of the items should be set to a timeframe in which they are on hand during the construction process.

    If using scheduling, the items should be marked as Schedule Manually. When the construction order is scheduled and the Transfer Due Date in Shipment Date action is run, the items marked as Pre-Order will not be affected.

    Purchase documents need to be created for the Pre-Order items using either the:

    • Purch. G/L Acc./Item action in the Construction Order line, in which the purchase order is created directly or from a requisition worksheet. Once created, the reservation will be made and then items can be added to the Construction Order with links to the pre-order items.
    • Planning Worksheet after releasing a Construction Order line, if the Construction Lines (Status=Released) toggle is turned on in the Configure to Order Setup page. Based on standard Business Central, the creation of a reservation depends on the Reordering Policy.

    Assignment

    Items are assigned to pre-order lines either automatically or manually. The automatic assignment only works when adding new items to the Construction Order lines. Quantity changes to existing items that are designated as a pre-order are not considered. However, to assign an existing item to a pre-order line, enter the line number in the Belongs to Pre-Order Entry No. field.

    Automatic Assignment

    When a new item that matches the item number, variant code, and location code of a pre-order item is added to the Construction Order line, a message opens asking if you want to link the component to the pre-order line.

    • If you choose the Yes button to link to the pre-order line, the link is created via the pre-order line number in the Belongs to Pre-Order Entry No. field in the new component line. After entering the quantity in the Exp. Quantity field:

      • The Reserved Quantity field is updated in both the new component line and pre-order line, as long as the quantity does not exceed the pre-order quantity.
      • The Assigned Pre-Order Qty. (Base) field in the pre-order line and the Qty. (Base) assigned to Pre-Order field in the new component line is updated with the quantity.
      • The Pre-Order Fully Assigned checkbox is selected if the pre-order quantity = component quantity.

      Once linked, a quantity increase of the new component line will prompt a message that asks if you want to increase the assigned pre-order quantity of the linked pre-order line. Choose the Yes button to increase the quantity. If you choose the No button, no change is made, and you will be instructed to accept the increase or remove the link to the pre-order line. A quantity decrease prompts no messages.

    • If you choose the No button to prevent the link to the pre-order line, the component is added, and no further pre-order processing is needed. However, if you choose the No button in error or decide later that you want to link to the pre-order line, you can do so by manual assignment.

    Manual Assignment

    Existing items in the Construction Order can be linked to a pre-order line if the item number, variant code, and location code match. In the Belongs to Pre-Order Entry No. field on the existing component line, enter the pre-order line number either manually or using the drop-down arrow.

    If you link to a pre-order line in which the component quantity is greater than the available pre-order quantity, an error will inform you that you need to reduce the quantity in the component line or increase the quantity in the pre-order line. The pre-order line number will remain in the Belongs to Pre-Order Entry No. field on the component line, thus maintaining the link but without a value in the Qty. (Base) assigned to Pre-Order field. If the quantity in the pre-order line is reduced or more becomes available, the value in the Qty. (Base) assigned to Pre-Order field will adjust accordingly.

    Reservations in Deleted Lines

    When a pre-order line or linked component line is deleted from the Construction Order, the reservations are maintained in the remaining line. Therefore, if the pre-order line is deleted, the reservation remains on the component line. If the component line is deleted, the reserved quantity is returned to the pre-order line.

    Pre-Orders Within Assembly

    If items within an assembly match the item number, variant code, and location code of a pre-order line, a linking message will open when the BOM is requested from the Construction Order line. For each component, you will need to choose whether to link the component to the pre-order line. The results are the same as described in automatic assignment and manual assignment.

    Pre-Order Setting Changes

    If the Pre-Order checkbox is cleared on a pre-order line that has linked items, a message will open asking if you want to unlink them.

    • Choose the Yes button to remove the pre-order designation on the item and clear the Belongs to Pre-Order Entry No. field of the component.
    • Choose the No button to cancel the process.

    If the Pre-Order checkbox is selected, existing items will have to be linked again manually. New items that match appropriately will be offered for automatic assignment.
