Sample Drawing
The Sample Drawing setup is used for both retained samples and testing samples.
- A retained sample is a portion of a produced or shipped item that is stored for a specified amount of time.
- A testing sample is drawn from a test order and then destroyed after testing.
Sample types and sample instructions help you differentiate between these samples.
Sample Types
To differentiate between the various sample processes, sample types must be defined.
Choose the icon, enter Sample Types, and then choose the related link.
The samples that are used for retained samples must have the Retain Sampling checkbox selected. Other samples must have the Destructive Testing checkbox selected. In the New Status (Lot/SN) field, enter the related Lot-/Serial No. Status code for the sample.
The Sample Start Trading Unit No. field is used with the trading unit integration of COSMO Process Manufacturing. This field identifies the starting number of the trading unit that should be used for the sample drawing. For more information, see Trading Unit Numbers.
Sample Instructions
Sample Instructions manage how item samples are to be retained or if they are to be tested, and the page is named differently based on the type of sample:
- For retained samples, this setup is accessed from the Items page (Inventory > Retain Sample Instruction) or Item Card page (Quality Assurance > Retain Sample Instruction) or Item Categories page (Actions > Retain Sample Instruction).
- For testing samples, this setup is accessed from the Test Plan Setup page (Related > Test Plan Setup > Sample Drawing Instruction).
For both types, the instructions need to be entered for the item or item category code. Furthermore, both types can have more than one Sample Instruction so one process can result in multiple samples.
To get an overview of all instructions, the Sample Instructions can be accessed using the Tell Me feature. Choose the icon, enter Sample Drawing Instruction, and then choose the related link. This page is filtered on Sample Type = Sample but it can be removed. Additionally, the Per Lot and Per Shipment fields are not shown by default but can be added using the Personalize feature.
The fields on the sample instruction pages are different depending on the sample type. All fields are described in the following table.

Item No. | Identifies the item for which samples need to be retained/tested. |
Item Category Code | Identifies an item category code for which samples need to be retained/tested. NOTE: Instructions set on an item will override settings on item category codes. |
Description | Indicates the description of the selected item or item category code. |
Quantity / Unit of Measure Code | Together determines the item portion to be taken for retention/testing, for example, 0.5 kg. |
Location Code | Identifies the location where the retained/tested samples need to be stored. |
Per Lot | If selected, samples are retained at production order output. Used with Retained Samples only. |
Per Shipment | If selected, samples are retained at sales shipment. Used with Retained Samples only. |
Retention Time | Indicates the length of time in which the samples need to be stored, calculated based on the posting date of the Item Ledger Entry. |
Comment | User-defined description of the instructions. |
Quantity Threshold | Indicates the minimum quantity to be posted on the production/sales order/test order to create a Retained/Tested Sample. If the quantity is less, no sample will be retained/tested. |
Sample Type | Indicates the type of the sample. |
Source Type / Source No. | Indicates the source of the testing that is used with the Test Plan Setup. NOTE: Used with testing samples; for retain samples the Source Type will always be Inventory. |
