Vendor Rating in Purchase Line

In this section, the COSMO Vendor Rating-specific fields on the purchase line are described.

The following diagram illustrates how the Promised Receipt Date, Arrival Date, and Planned Receipt Date fields, together with related Vendor Rating Setup options, combine to produce the automatic Due Date Rating (Appointed Time Score) when a purchase receipt is posted.

Due Date Rating data flow

Each field and setup option in this flow is described in the following sections.

Duty of Rating

The Duty of Rating checkbox is selected automatically on item lines if the Duty of Rating toggle is turned on in the Vendor Card and/or is set in the Item/Vendor Catalog page. The field cannot be edited on the purchase line.

Only the purchase lines that have the Duty of Rating checkbox selected are considered for the vendor rating.

Assert Terms of Delivery

The Assert Terms of Delivery checkbox must be selected manually if the delivery date (Promised Receipt Date) and the shipment quantity are known. It will be selected automatically on all purchase order and purchase invoice lines (except blank lines) when releasing the document if the Assert Delivery Terms on Release toggle is turned on in the Vendor Rating Setup page.

A receipt line with the Duty of Rating checkbox selected and a quantity to receive cannot be posted unless the Planned Receipt Date field is filled and the Assert Terms of Delivery checkbox is selected.

When the checkbox is selected, the following happens:

  • The value in the Quantity field is copied to the Assert Purchase Order Quantity field if that field is zero.
  • The Arrival Date field is set to the posting date of the document if the Use Post. Date as Arrival Date toggle is turned on in the Vendor Rating Setup page. Otherwise, it is set to the work date.
  • If the Promised Receipt Date field is empty, the option selected in the Empty Pr. Rcpt. Date on Assert Terms of Delivery field in the Vendor Rating Setup page is applied. See Promised Receipt Date.

When clearing the Assert Terms of Delivery checkbox, you will be asked if you want to reset the field. If you choose the Yes button, the checkbox is cleared as well as the Assert Purchase Order Quantity and Arrival Date fields. If you choose the No button, the checkbox remains selected.

Note

The Assert Purchase Order Quantity field is only filled if it is zero. If the value in the Quantity field is changed, clear the Assert Terms of Delivery checkbox (and confirm the reset) and then select it again to refresh the quantity in the Assert Purchase Order Quantity field.

Note

When a document is created by copying a document or by converting a blanket order to an order, the Assert Terms of Delivery checkbox and the Assert Purchase Order Quantity and Promised Receipt Date fields are reset. When copying a document, the Planned Receipt Date field is also reset.

The following diagram illustrates the cascade of field changes that occur when the Assert Terms of Delivery checkbox is selected or cleared.

Assert Terms of Delivery cascade

Planned Receipt Date

The planned receipt of goods date is the date when you think the goods will be received. It is not used in the calculation for the automatic Due Date Rating of a shipment (Appointed Time Score), but it must be filled to post a receipt line that has the Duty of Rating checkbox selected, and it can affect the promised receipt date.

  • When the Assert Terms of Delivery checkbox is selected, the value in the Planned Receipt Date field is copied to the Promised Receipt Date field if the Promised Receipt Date field is empty and the Planned Rcpt. Date option is set in the Empty Pr. Rcpt. Date on Assert Terms of Delivery field in Vendor Rating Setup.
  • If the Promised Receipt Date field is changed, the date is copied to the Planned Receipt Date field. However, if the Planned Receipt Date field is changed, the Promised Receipt Date field is not changed (neither when empty or filled).

Promised Receipt Date

The promised receipt of goods date is the receipt date that is promised by the vendor. Together with the Arrival Date, the promised receipt date serves as a calculation field for the automatic Due Date Rating of a shipment (Appointed Time Score). This field is needed because the actual delivery date may often vary profoundly from the posting date of the delivery and thus the delivery line rating would be falsified.

Whether this field can be empty or not is managed by the Empty Pr. Rcpt. Date on Assert Terms of Delivery field in Vendor Rating Setup. If the Promised Receipt Date field is empty when the Assert Terms of Delivery checkbox is selected, the selected option in the Empty Pr. Rcpt. Date on Assert Terms of Delivery field will determine what happens:

  • Planned Rcpt. Date – the value from the Planned Receipt Date field is copied to the Promised Receipt Date field.
  • Raise Error – on purchase orders, an error message opens stating that the Promised Receipt Date field cannot be empty and the user will need to fill it in. On purchase invoices, no error is raised and the field remains empty.
  • Keep Empty – the Promised Receipt Date field remains empty; the user can choose to fill it in or not; but if left empty, the Due Date Rating score of 100 will be used when the receipt is posted.

Arrival Date

The arrival date is the actual date of the receipt. Together with the Promised Receipt Date, the arrival date serves as a calculation field for the automatic Due Date Rating of a shipment (Appointed Time Score). When the receipt is posted, the value in this field is transferred to the posted receipt line where it is used in the rating calculation process.

When a line is created or its number is changed, the Arrival Date field is initialized with the posting date of the purchase document if the Use Post. Date as Arrival Date toggle is turned on in the Vendor Rating Setup page. Otherwise, it is initialized with the work date. The date can be changed manually by the user.

The setting in the Assert Terms of Delivery field also affects the arrival date:

  • When the Assert Terms of Delivery checkbox is selected, the Arrival Date field is set to the posting date (if the Use Post. Date as Arrival Date toggle is turned on) or to the work date.
  • If the Assert Terms of Delivery checkbox is cleared and the reset is confirmed, the Arrival Date field is cleared.

If the Use Post. Date as Arrival Date toggle is turned on, the Arrival Date is overwritten with the posting date whenever the posting date of the document is changed (for lines with a quantity to receive) or the quantity to receive is initialized. A manually entered date is therefore replaced in these cases. If the Arrival Date field is empty on the posted receipt line, the posting date of the receipt is used as the arrival date.

The following diagram illustrates the decision logic for which date value is used to set the Arrival Date field.

Assert Purchase Order Quantity

Non-editable field that is filled automatically with the value from the Quantity field if the Assert Terms of Delivery checkbox has been selected by the user.

Quality Rating

Indicates if a quality rating exists for the purchase line. This rating can be entered by choosing the No value in the field or choosing Line > Quality Rating on the Lines FastTab. In the Quality Rating Code Document page, choose the relevant rating in the Code field.

Quality ratings can also be done for posted receipts. For more information, see Quality Rating for Purchase Receipt Line.

Note

Entering a Quality Rating on the purchase line prior to receipt will only affect the Quality Rating Entries when the receipt is posted.
