Periodic Activities
Various periodic activities are described in this section.
Locked Records
The Locked Records page shows the list of open tasks that cause a record lock.
The records locked through workflow tasks can be worked on only by teams, which are responsible for the tasks or by a workflow administrator.
Message Buffer
The purpose of the Message Buffer is to temporarily store messages (workflow tasks), that should be sent to workflow team members by email.
If the Create E-Mail toggle in the Workflow Setup page is turned on, a message will be created in the message buffer. A message will be created for each member of a workflow team whose email address is stored in the User Setup page.
The Message Buffer temporarily stores emails before they are sent. If the Send E-Mail immediately toggle in the Workflow Setup page is turned on, the message will be sent immediately, and the Message Processed checkbox will be selected.
In order to send messages that haven’t been sent yet, select one or more records and choose the Send Messages action on the action bar.
Note
Only those messages are sent for which the Message Processed checkbox is not selected.
If you use the E-Mail Interface MAPI and Microsoft Outlook for sending and receiving emails, a security warning might open. Confirm this warning to be able to send email messages.
Note
The freeware tool Advanced Security for Outlook from MAPILab Ltd. can deactivate this security warning for some applications. For more information, see http://www.mapilab.com/outlook/security. MAPI and Outlook is currently disabled due to compatibility issues.
After sending the message using Outlook, the Message Processed checkbox for the sent entries is selected. Another email will not be created for these records.
You can delete sent messages in this page by selecting the records and deleting them by choosing the Delete action on the action bar.

Create Periodic Events
This function allows you to manually create the events that have the Event Type = Periodic. When one of these events is determined to be due (Planning FastTab on the Workflow Event Card), this routine will raise the event. In case there are workflows associated with the event, their entry condition will be checked and in case it is valid, the workflows will be started.
Note
The creation of a big number of new tasks through valid events with the Event Type = Periodic can take a lot of time. The Microsoft Dynamics 365 Business Central Client, on which this process is taking place, is not available for any user input until the process has finished.
Delete Completed Tasks
In the Delete Completed Tasks page, it is possible to remove completed tasks from the Workflow Task table. You can delete all completed tasks from the task table or set a filter before you run the routine.
- In the Date Completed field, enter the date of completion (or the date interval) of the tasks to be deleted. All tasks with an entered Date of completion that were completed on this date, or during this date interval, will be deleted.
- In the Workflow No. field, enter the number (or the number interval) of the workflow, whose completed tasks should be deleted.
- In the Workflow ID field, enter the ID (or the ID interval) of the workflow instance, whose completed tasks should be deleted.
- In the Team Code field, enter the workflow team, whose completed tasks should be deleted.
- To add more fields for filtering, choose the
icon.
- Choose the OK button to start the processing routine. If you do not want to start the processing routine now, choose the Cancel button to close the page.
Note
If no filter is specified, all completed tasks will be deleted.
Execution Buffer
The Execution Buffer controls intercompany workflows. You use intercompany workflows, if you want to react on events of a certain record in another company of the same database. To trigger the defined Workflows, the necessary information is buffered in the Execution Buffer of the target company until they are triggered.
To execute the buffered information from Event Type and Record Position in the target company, change the company and open the Execution Buffer using Tell Me. Choose the icon, enter Execution Buffer, and then choose the related link. Choose the Execute action on the action bar to trigger the Workflow Events. If according workflows and the record exist in this company, tasks will be generated and deposited in the Workflow Portal. For the executed records, the Processed checkbox is selected. The records, which are no longer needed, can be deleted.
