Testing Samples
The ability to draw samples for purposes other than retained samples is available directly from the Test Order and Test Incident. These samples can be eliminated using a special report.
Note
The Test Plan Setup or Test Plan Assignment page is used depending on the setting in the Test Plan Association field in the Quality Assurance Setup page (see Quality Assurance Setup, General FastTab).
Testing Sample Setup
The sample drawing uses the instructions from the Sample Drawing Instruction page, accessed from the Test Plan Setup/Assignment page. After defining the test plan setup for the item, choose Test Plan Setup > Sample Drawing Instruction on the Related menu to open the Sample Drawing Instruction page.
In the Sample Drawing Instruction page, enter the sample quantity, location to where the sample is to be stored, how long the sample is to be stored, and the minimum quantity (threshold) for which a sample should be created (based on the quantity of the source type, for example, purchase receipt, output, and so on). Many values are defaulted from the Test Plan Setup, and the Sample Type field is automatically populated with the sample type that was set to Destructive Testing (see Sample Types). Draw sample on test order
On the General FastTab of the Test Order, the Sample Exists field indicates if a sample has been drawn for the test order.
To draw the sample, choose Function > Draw Sample on the Actions menu. When completed, the Sample Exists toggle is turned on. Choose the ellipsis button to open the Stored Samples page, which shows that a sample of the item has been stored, including:
- Quantity – from the Sample Drawing Instruction
- Lot No. – from the item's lot number series or lot number trading unit and trading unit number from COSMO Process Manufacturing integration
- Lot No. Trading Unit - from COSMO Process Manufacturing integration
- Trading Unit No. - from the Sample Types number series with COSMO Process Manufacturing integration
- Elimination Date – calculated by Retention Time and posting date of the Item Ledger Entry
- Location Code – from the Sample Drawing Instruction
- Sales/Cost Amounts – from item card, depending on costing method
- Status (Lot/SN) – from the New Status (Lot/SN) field in Sample Types
Draw samples for test orders from test incidents
Samples can be drawn from test incidents for all test orders or single test orders:
- To draw samples for all test orders in a test incident, choose Actions > Draw Samples from the Test Incidents page.
- To draw samples from a single test order in a test incident, select the line in the Test Incident Card page and then choose Manage > Draw Sample on the Lines FastTab.
Eliminate Samples
When the sample reaches the elimination date, the Eliminate action can be run. On the Actions menu of the Stored Samples page, choose Functions > Eliminate.
In the Sample Elimination page, it is possible to print/view a planned elimination, or print/view an executed elimination. To print or view:
- a planned elimination, do not turn on the Eliminate Samples toggle, and then choose the Print or Preview button.
- an executed elimination, turn on the Eliminate Samples toggle, and then choose the Print or Preview button.
Choosing to just print/preview the elimination generates the Sample List report.
To complete the elimination, re-run the Eliminate action and turn on the Eliminate Samples toggle. A message will open asking if you want to eliminate the selected samples. Choose the Yes button to start the process or the No button to cancel the process. A message will open with the number of samples eliminated and the Sample List will be printed or opened on the screen depending on selected method.
In the Stored Samples page, the eliminated samples are indicated by the Remaining Quantity = 0 and the Open checkbox cleared.
