Change Status of Test Incident
The Test Incident Status Change Approval Workflow workflow controls the approval requests when the Release Test Orders action is run in the Test Incidents page.
When the Release Test Orders actions is run, the status changes to Ongoing automatically. Once all test orders are finished, the status changes to Archived automatically. If you only want to request approval when the test orders are released, then set the Status filter to Created on the condition in the workflow. If you want request approvals for both types of status changes, then you do not need to enter conditions (step 2 below).

Either this workflow or the Test Order Status Change Approval Workflow should be enabled, but not both. For more information, see Avoid conflicts in Test Incident and Test Order status changes.
When the test order workflow is enabled, status changes are handled in the Test Order Card or for individual test orders in the Test Incident lines. Both methods are described in Change Status of Test Order.
Test Incident Status Change Approval
The general process for approving a test incident status change with an approval workflow is:
- Create the Test Incident Status Change Approval Workflow workflow from the template.
- Choose the status change to require approval requests when the Release Test Orders action is run.
- On the first line of the workflow, choose (View filter details) in the On Condition field.
- In the Event Conditions page, select Created in the Status field.
- Choose the OK button.
- Assign the approval user or group of users.
- Set the additional authentication if required.
- Enable the workflow.
- Open a test incident.
- On the Process menu, choose the Release Test Orders action.
A message opens stating that an approval request has been sent. - If notifications are set up, the approval user(s) receives notification of the approval request.
- The Status changes to Pending Approval in the header.
- The approval user opens the Test Incident Card page or the Requests to Approve page (using Tell Me) and approves the request, with or without password depending on authentication requirements.
- The Status changes to Ongoing in the header and is updated accordingly in the lines.
Cancel approval requests
A user can cancel an approval request by choosing the Cancel Approval Request action on the Request Approval menu.
Manage approval requests
A designated user can approve, reject, or delegate an approval request by choosing the action from the Approve menu. They can also add any necessary comments for the response to the request.
Designated users can also choose the icon, enter Requests to Approve, and then choose the related link. In the Requests to Approve page, they will see their pending approval requests and can manage each request individually. They can choose Home > Open Record to view the test incident requesting the change and could then complete the approval directly in the Test Incident Card page.
View approval entries
The Approval Entries FactBox shows the status of an approval request as well as the number of unfinished approvals, the date and time the approval request was sent, and the details of the approval request.
To see complete information about the approvals, choose the Approval Entries action on the Request Approval menu.
Example – Change status of a test incident using an approval workflow
In the following video, a workflow has been created from the Quality Assurance Test Incident Status Change Approval Workflow workflow template. A status change filter from Created to another status is assigned as a condition, a workflow user group for quality assurance has been assigned, and the workflow requires additional authentication from any of the users to complete the status change.
An existing Test Incident is opened and the Release Test Orders action is run. A message opens stating that the approval request has been sent. The Status changes to Pending Approval and no further changes can be made to the Test Incident until the approval is complete.
The Approval Entries FactBox shows that an approval request is waiting (Open). The approval user opens the Requests to Approve page and then opens the Test Incident Card directly to view the changes. The approval user then approves the request by choosing the Approve action on the Approve menu and enters their password because the additional authentication was enabled for the workflow.
The Status of the Test Incident changes to Ongoing. The approval entries show that the request has been approved.
