Status Change Workflows
COSMO Regulatory Affairs offers workflows for requesting approval when the status is changed for:
- Sample Occurrences
- Test Plans
- Test Orders
- Test Incidents
Setting up the workflows are generally the same for each type but there are some considerations when preparing to define the workflows.
Determine which changes to track
In most cases, you will not need an approval for each type of status change. Therefore, you can set conditions in the workflows to specify which statuses to track. If you do not specify these statuses, then approvals will be sent whenever the status is changed.
The exception to this is the Test Plan Certify Approval Workflow, which requires an approval whenever the Test Plan is certified, regardless of the originating status so no additional conditions need to be set.
You can also set up different workflows for the specific status change based on the approval users.
Determine to track Test Plan status change and/or certification
There are two workflows for tracking status changes in test plans:
- one to track changes other than certification (Test Plan Status Change Approval Workflow)
- one to track certification (Test Plan Certify Approval Workflow)
You can choose to enable one or both workflows based on your business processes.
Avoid conflicts in Test Incident and Test Order status changes
When working with approval requests for status changes in Test Incidents and Test Orders, choose which approval request is needed:
- changes to status for all test orders in the test incident (Test Incident Status Change Approval Workflow)
- changes to status on each individual test order (Test Order Status Change Approval Workflow)
If you use Test Incidents, then only enable the test incident workflow. If you do not use Test Incidents, then only enable the test order workflow. Conflicts could arise if both workflows are enabled.
