Integration of COSMO Regulatory Affairs
COSMO Regulatory Affairs includes several workflows that you create from templates. After creating the workflows, you can add approval users and determine if additional authentication is required. Additionally, you can set conditions in the workflows to prevent over-regulated processes.
With the integration to COSMO Vendor Rating, the Purchase Line Assert Terms of Delivery workflow template used with COSMO Regulatory Affairs is located within the Vendor Rating group in the Workflow Templates page.

Modify Assert Terms of Delivery in Purchase Line
The Purchase Line Assert Terms of Delivery workflow can be enabled to generate an approval request to modify the Assert Terms of Delivery field on the Purchase Order line, which is used with calculating date and quantity ratings (see Vendor Rating in Purchase Line). When selected, this field updates the Assert Purchase Order Quantity field with the value of the Quantity field and the Promised Receipt Date field with the value of the Planned Receipt Date field. When the Assert Terms of Delivery field is cleared, the values in the noted fields are cleared as well.
The Assert Terms of Delivery field can be changed manually on the line or automatically by releasing the Purchase Order if the Assert Delivery Terms on Release toggle is turned on in the Vendor Rating Setup page. Therefore, an approval request will be required to manually change the Assert Terms of Delivery field in the line or to release the purchase order.
Modify Confirmed Quantity/Date in Purchase Order Line
The general process for creating an approval workflow for modifying the confirmed quantity/date in a Purchase Order line is:
- Create the Purchase Line Assert Terms of Delivery workflow from the template.
- Assign the approval user or group of users.
- Set the additional authentication if required.
- Enable the workflow.
- Open the Purchase Order page.
- Select the line to modify and then manually change the line as described above or release the purchase order line.
A message opens stating that the request was sent for approval. - If notifications are set up, the approval user(s) receives notification of the approval request.
- The approval user opens the Requests to Approve page (using Tell Me) and approves the request, with or without password depending on authentication requirements.
- The confirmed date or quantity is modified in the purchase line.
Cancel approval requests
A user can cancel an approval request by choosing the Cancel Approval Request action on the Request Approval menu on the Lines FastTab of the Purchase Order or on the action bar of the Purchase Lines page.
Manage approval requests
A designated user can approve, reject, or delegate an approval request by choosing the action from the Approval menu on the Lines FastTab of the Purchase Order or on the action bar of the Purchase Lines page. They can also add any necessary comments for the response to the request.
Designated users can also choose the icon, enter Requests to Approve, and then choose the related link. In the Requests to Approve page, they will see their pending approval requests and can manage each request individually. They can choose Home > Open Record to view the entry requesting the change and could then complete the approval directly in the Purchase Lines page.
View approval entries
On the Purchase Lines page, the Approval Entries FactBox shows the status of an approval request as well as the number of unfinished approvals, the date and time the approval request was sent, and the details of the approval request for the selected line.
To see complete information about the approvals, choose the Approval Entries action on the action bar.
