Workflow Master Documents
Master Documents represent single documents in the application. These master documents can be linked with the desired records using the COSMO Workflow Context Menu.
The Master Documents page is accessed using Tell Me. Choose the icon, enter Workflow Master Documents, and then choose the related link.
Select an existing Master Document Card or create a new one.
General FastTab
The fields on the General FastTab are described in the following table.
Field | Description |

No. | In the No. field enter the number of the master document. If a number series is defined, you can automatically assign a new number by pressing the Enter key. |
Category Code | Use the Category Code field to classify your master document. Enter a code or use the lookup in the field and select a document category. |
Document Source Type | The Document Source Type field indicates whether the master document is a file or a link, for example, to a website on the Intranet or Internet. The options are: - File – The master document refers to a file. - URL – The master document refers to the address of a resource in a computer network. This may be a website, file, or data into Microsoft Dynamics 365 Business Central. |
Description | Use the Description field to deposit a description for the document. If you leave this field blank, it will be filled automatically with the file name when you import a document. |
No. of Links | In the No. of Links field, you can see with how many records this document is linked, that means connected. To view the document connections, choose the number in this field. |
Document exists | If the toggle is turned on, you can access the document. That means with storage type Internal the file was imported in the database, with storage type External the file exists on the given document storage path. For externally stored documents, it is possible that not every user has access to the storage location, for example, the file server. Note: This field is only available for Document Source Type = File. |
Filename / File Extension | The Filename and File Extension fields show the name and file type of the document. Note: These fields are only available with Document Source Type = File. |
URL | In the URL field, enter the address of the resource in the network, for example, the internet. Using the lookup in this field, you have the option to refer to a record in Microsoft Dynamics 365 Business Central. For information about how to implement record links, refer to your COSMO CONSULT consultant. Note: This field is only available with Document Source Type = URL. |
Import Reference No. | The Import Reference No. field is filled by the batch processing Import Documents. The field is used to group documents of single imports. With it you are able, for example, to find documents of incorrect imports and delete them selectively. |
External Reference No. | The External Reference No. field is for your free disposal. Here you can enter, for example, document numbers or external file numbers for the document. |
Information FastTab
On the Information FastTab, there are fields providing information regarding creation and modification of date, time, and user.
Actions Menu
There are several functions available on the action bar.
- Choose the Import action to import the master document. Then choose the Choose button to select the file. Depending on the selected storage type, the file is either imported or copied into the database in the storage location.
- Choose Functions > Export on the Actions menu to store a master document to any location.
- Choose Functions > Delete on the Actions menu to remove an internal document from the database or delete an external document from the storage location. Files which are referenced by source type URL are not deleted.
- Choose Functions > Show on the Actions menu to open the master document with the associated program. A URL will be interpreted according to the operating system and opened in the Internet browser.
