Item Service Codes

In addition to linking Standard Service Codes to a Service Item for use in Service Contracts, you can assign Standard Service Codes directly to an item or to a service item. An item service code holds the items, resources, costs, and G/L accounts that belong together for that item, for example for a wheel, a pump, or a motor.

Prerequisites

Before you can assign or insert item service codes, the following conditions must be met:

  • The service item has an active Service BOM. For more information, see Service BOM.
  • Standard service codes are assigned to items in that Service BOM, or to the service item.
  • The Item Service Code field on the Numbering FastTab of the Configure to Order Setup page contains a number series.

To assign standard service codes to an item or service item

  1. Open the item or service item to assign standard service codes to.
  2. On the Related menu, choose Item > Item Service Codes (Item Card or Item List) or Service Item > Item Service Codes (Service Item Card).
  3. The Standard Service Codes page opens, filtered to the codes already assigned to that item or service item.
  4. Choose New to create a new standard service code. The Code field is replaced by a Search Code field, and the Source Type and Source No. fields show the item or service item the code is assigned to. The Code itself is assigned automatically from the number series configured in the Item Service Code field on the Numbering FastTab of the Configure to Order Setup page.
  5. In the Lines FastTab, enter the items, resources, costs, or G/L accounts required for the code, as for any other Standard Service Code. Optionally select the Spare Part or Wear Part checkbox on a line to mark it as a candidate for automatic replacement linking when the code is used with the Get Item Service Codes action.
Note

The Standard Service Codes list page only shows codes without an assigned item or service item source when it is opened without a source filter (for example, from the Tell Me search). Codes assigned to an item or service item only appear there when opened through the Item Service Codes action on the related item or service item, or through a page that filters by source.

Insert Item Service Codes

On a service quote or service order, you select item service codes along the structure of the service item's active Service BOM. This records which component is affected and inserts the lines of the selected codes as service lines. A component selected in the same step can be marked as repaired, which creates a repair service line that the inserted lines are assigned to, as part of the In-House Repair process.

To insert item service codes into a service order or service quote

  1. Open a Service Order or Service Quote and go to the line for the service item.
  2. On the Actions menu, choose Functions > Get Item Service Codes.
  3. The Service Code Selection page opens, showing the active Service BOM of the service item as a tree, indented by Level. Standard service codes assigned to the service item, and to the item of the Service BOM header, are shown directly below the top line. Each Service BOM component that has item service codes assigned to it is shown together with those codes as child lines, identified by their Search Code.
  4. Choose Edit List to make the checkboxes on the lines editable.
  5. To insert a code's lines as service lines, select the Select checkbox on the code line. This checkbox is only available on code lines, not on component lines.
  6. Choose the OK button to insert the service lines for every selected code.

The quantities of a code's lines are multiplied by the Quantity of the line the code belongs to. For a component, this quantity is taken from the Expected Quantity of the corresponding Service BOM line. For codes shown directly below the top line, this quantity is 1.

Note

The Quantity field is not shown on the Service Code Selection page by default. Add it through personalization to review or change it before the service lines are inserted.

If the service item has no active Service BOM, the action does not open a selection page and no service lines are created. If the Currency Code of a selected standard service code differs from the Currency Code of the service document, the process stops with an error and no service lines are inserted, including the repair service lines of the same run. Running the action again inserts the selected lines a second time; existing service lines are not detected or updated.

Service Code Selection Page

The fields on the Service Code Selection page are described in the following table.

Field Description
Level Specifies the level of the line in the Service BOM structure. The line is indented according to this value.
Service Repair Specifies whether a repair service line is created for this component, as part of the In-House Repair process. Available on component lines only.
Select Specifies whether the lines of this standard service code are inserted as service lines. Available on code lines only.
No. Specifies the item number of the Service BOM component. Empty on code lines.
Description Specifies the description of the Service BOM component or of the standard service code.
Service Search Code Specifies the search code of the standard service code. Empty on component lines.
Type Specifies the standard service code type. Empty on component lines.
Quantity Specifies the factor by which the quantities of the code's lines are multiplied. Taken from the expected quantity of the Service BOM line. Not shown by default.

Use with In-House Repair

Marking a component as Service Repair also creates a repair service line and links the inserted code lines to it, and any Standard Service Code line flagged as Spare Part or Wear Part can be linked automatically to a matching Service BOM component, as part of the In-House Repair process. For details, see Repair Lines from Item Service Codes.

To copy item service codes when copying an item

When copying an item using the standard Copy Item function, select the Item Service Codes checkbox in the Configure to Order FastTab to also copy the source item's assigned standard service codes, including their lines, to the new item.

Note

Only standard service codes with Source Type = Item are copied. Standard service codes assigned to a service item are not copied by the Copy Item function.
