Pre-defined Service Worksheets for Service Contracts
When a customer signs a Service Contract, the contract fee normally includes working hours and material up to a defined level. Using Standard Service Codes, you can define these hours and materials, which can then be attached to a Service Item. When the Service Item is used in a Service Contract, and a Service Order is created from the contract, the lines of the linked Standard Service Code are copied to the Service Item Worksheet automatically.
Standard Service Code Types
Standard Service Code Types are for informational purposes only and help to group or filter the Standard Service Codes.
- Choose the icon, enter Standard Service Code Types, and then choose the related link.
- In the Code field, enter a unique identifier for the standard service code type.
- In the Description field, enter a short description of the standard service code type.
Standard Service Code Card
In the Standard Service Code Card, the Standard Service Code Type is defined in the Type field in the General FastTab.
- Choose the icon, enter Standard Service Codes, and then choose the related link.
- In the General FastTab, fill in the Code and Description fields, and the Currency Code field as needed.
- In the Type field, select the relevant type for the standard service code.
- In the Lines FastTab, enter the items, resources, costs, or G/L accounts required for this service.
Note
If a discontinued item is entered, a message will open asking to confirm that you want to use the item.
Use standard service codes in service items
One or more Standard Service Codes must be linked to the Service Item.
- Choose the icon, enter Service Items, and then choose the related link.
- Open the service item to add the standard service code to.
- On the Related menu, choose Service Item > Standard Service Codes.
- In the Standard Service Code field, enter the relevant code for the service item.
- Leave the Service Item Standard Codes page.
- In the Service Item Card page, the Standard Service Codes field in the Detail FastTab indicates if standard service codes exist for the service item.
Use standard service codes in service contracts
One Standard Service Code must be linked to the lines of a Service Contract. You can only select Standard Service Codes that are defined for the related Service Item.
- Choose the icon, enter Service Contracts, and then choose the related link.
- Open the existing service contract or create one.
- In the Lines FastTab, enter the service item with a standard service code.
- In the Std. Service Code field, select the relevant code.
- Fill in the other fields as needed to complete the contract.
Create service order from a service contract
If a Service Order is created based on a Service Contract with a linked Standard Service Code, then the Service Item Worksheet of the created Service Order will contain the lines of the Standard Service Code.
- Open the service contract for creating a service order.
- In the Lines FastTab, choose Line > Create Service Order.
- A message opens asking if the "Next Planned Service Date" should be transferred to the "Last Planned Service Date". Choose the Yes button to transfer the date or the No button to skip the date transfer.
- In the Create Contract Service Orders dialog, set the date range and then choose the OK button.
- On the Related menu, choose Overview > Service Overview > Service Orders.
- In the Order page, choose Line > Card on the Related menu.
- To view the lines from the linked Standard Service Code, choose Line > Service Item Worksheet on the Lines FastTab.
