Messages
Workflow Messages can be used to show hints or error texts to the users in certain situations.
Messages are created like workflow tasks through a combination of an event and a condition. These messages will not be displayed as a task in the workflow portal, but at the time of their activation they will be displayed as a hint message to the user.
- Choose the
icon, enter Messages, and then choose the related link.
- In the Event No. field, select a workflow event that should trigger the message’s condition check.
- In the Condition No. field, select the condition that should be valid to show the message.
- If you select the Reverse Condition checkbox, then you can display a message for an invalid condition.
- You can enter a short description of the message in the Description field. This description will not be displayed in the message.
- Enter the text for the user in the Message Text field. It can have up to 250 characters.
At a certain length, the text will be automatically split in the message box. To improve the readability of your text you can use the line-break symbol \\
to split your text into lines manually.
As in task templates, the message text can contain wildcards for "Rec" and "xRec" placeholders (e.g. %3
/ %X3
) to insert current or previous field contents of the underlying record.
- If you want that the operation that the user has done is cancelled, select the Error Message checkbox. The changes made by the user will be cancelled.
- To activate a message, clear the Blocked checkbox.
- You can put a time limit on the messages by using the From Date and To Date fields.
- The Exception checkbox shows if any exceptions for one or more workflow teams were provided.
Choose the Exceptions action on the action bar to define workflow teams, whose members should not get this message.
