Identification of Communication Partners
The received and sent data must contain information that clearly identifies the two communication partners. In typical EDI files, for example, the ID of the sender and the ID of the recipient are an integral part of the transferred files. These IDs can be GLN or GLN, DUNS but also telephone numbers or other types of identification numbers. To uniquely identify the communication partner, you must create an EDI partner in which you enter your own identification number and the identification number of the communication partner. When importing files, the two identification numbers are then extracted and an attempt is made to find an EDI partner set up in COSMO EDI in which these numbers have been entered. If this partner has been found, COSMO EDI determines the communication partner and you can further process the sent data. If no corresponding EDI partner is found with the two extracted identification numbers, you cannot further process the sent data and must first set up a corresponding communication partner in COSMO EDI. When sending data to your partner, the identification numbers stored in COSMO EDI are also transferred in the files so that your communication partner can clearly assign them. You cannot transfer files to the communication partner without the identification numbers stored in the EDI partner.
Communication with Buying Groups and Retail Chains
When communicating with buying groups and retail chains, the data exchange usually takes place over a central place, which sends or receives the data of the individual members or branches. In this case, you only need to create an EDI partner through which communication takes place. The data received and sent must then contain more detailed information about the member of the buying group or the branch of the communication partner's retail chain so that the documents to be created or sent can be clearly assigned.
Connection between Communication and Business Partners
A typical EDI message in which you receive an order from a customer, for example, contains not only the numbers for identifying the communication partners but also an identification number for the ordering customer, the address to be delivered to the goods and the invoice recipient. Only with this data you can create a complete order in Microsoft Dynamics 365 Business Central. If you send a purchase order to a communication partner, your partner needs not only the numbers to identify you as his communication partner but also the numbers to identify you as a customer and your delivery address to which your partner should send the goods. The communication partner with whom you exchange data and the business partner with whom you exchange document data can therefore be different. Once you have set up the communication partners, you must therefore assign them to the customers, vendors, and delivery addresses and also enter the identification numbers there, so that the correct business partner can be determined in addition to the communication partner or their data can be transferred.
