INVOIC_EXP – Setup
This topic describes how to set up the INVOIC_EXP transaction.
Setting Up the Export Path
To set up the export paths for exporting partner data for transaction code INVOIC_EXP, navigate to EDI Export Paths within COSMO EDI.
For more information on setting up export paths, see the Setup of Export Paths.
The EDI Export Paths page is accessed using the Tell Me feature. Choose the icon, enter EDI Export Paths, and then select the related link.
General Setup
When transferring the documents, you must provide your identification number in the transferred file so that your partner can identify the sender of the invoices and credit memos.
To set up this identification number, go to EDI Partners within COSMO EDI.
The EDI Partners page is accessed using the Tell Me feature. Choose the icon, enter EDI Partners, and then select the related link.
For more information on setting up your identification number, see DESADV_EXP – Export DELIVERIES.
Setting Up the EDI Partner
Next, you set up the EDI partner for sending the electronic invoice and credit memo documents. You need to adjust some settings in the partner that relate directly to the posting of the invoice and credit memos and the corresponding deliveries.
For example, some customers may not have an invoice or credit memo that does not directly relate to a previous or simultaneous shipment. The partner settings are checked directly when posting sales invoices and credit memos and the corresponding shipments.
You must also specify in the partner how and whether you want to transfer an invoice list and whether it goes to a customer or to an accounting group.
The fields for setting up the invoice transfer on the EDI Partner Card and EDI Partner Transaction Card are described in the following table.
Field | Description |
---|---|
Show VAT | If the value-added tax is to be displayed when exporting the documents, you must select this checkbox. If you transfer documents from Germany to Switzerland, for example, no value-added tax is displayed. |
Numeric Customer Order Number | If selected, any non-numerical characters in a Microsoft Dynamics 365 Business Central sales order number are removed before they are transferred to your partner. |
Force Shipment No. Export | If selected, a delivery note number must always be transferred with an invoice and credit memo. This means that you can no longer post an invoice or credit memo in Microsoft Dynamics 365 Business Central without a directly assigned delivery. |
1:1 Invoice to Shipment | If selected, the application checks whether there is a 1:1 matching delivery note for this invoice when posting an invoice. This means that you must also calculate all items you deliver so that the application generates a suitable delivery note for the invoice, which is then transferred to your partner. The delivery note number for an invoice can also be subsequently entered in the invoice. |
Numerical Invoice No. | If selected, any non-numerical characters in a Microsoft Dynamics 365 Business Central invoice number are removed before they are transferred to your partner. |
Split Invoices and Cr. Memos | If selected, invoices and credit memos will be processed separately when the data is exported. |
No List Export (previously: Suppress Invoice List) | If selected, no invoice list information is inserted in the created file. |
Invoice List Payer Type | Here you determine whether the documents to be transferred are to be transferred to a customer or to an accounting group. The options are: - Customer - The documents are created for a customer. The run for retrieving invoices and credit memos takes into account all documents in which this customer has been entered as the invoice receiver. - Buying Group - The documents are created for an accounting group. The run to retrieve the invoices and credit memos takes into account all documents of all customers in which the buying group was specified. |
Invoice List Payer No. | Enter either the customer number or the number of the accounting group for which the documents are to be transferred and from which data such as bill-to customer GLN is to be taken. |
Setting Up the Partner Transaction
To set up the partner transaction for exporting invoices and credit memos, navigate to EDI Partners within COSMO EDI. Then, choose Home > Transactions.
The Transactions page is accessed using the Tell Me feature. Choose the icon, enter Transactions, and then select the related link.
To do this, create the new INVOIC_EXP transaction and activate it by selecting the Active checkbox.
In the partner transaction setup, you define, among other things, which data is transferred to the partner and which format it should have.
On the INVOICE_EXP FastTab, you also specify settings for creating the invoice list.
The fields for setting up invoice transfer on the EDI Partner Transaction Card, on the General and Item FastTab are described in the following table.
Field | Description |
---|---|
Use Item Description | Select this check this box if you want to transfer the description of the item stored in Microsoft Dynamics 365 Business Central in the delivery notice. |
Invoice GLN Handling | If the option only if different from Buyer GLN is selected for invoice export, the application will use the invoice addresses GLN to be transferred from the sales delivery. |
Packaging Unit Handling | In this field, you specify whether the application should transfer the unit of measure specified in the delivery note or the base unit of the item and the associated quantities. The options are: - Packaging unit as specified by partner - In this case, the units contained in the delivery note are transferred and no quantity conversion of the delivered quantity takes place. - Use Base Unit of Measure - If you select this option, the unit and quantity of the delivery is converted to the base unit of the item and transferred. |
The fields for setting up the invoice transfer on the EDI Partner Transaction Card, on the INVOICE_EXP FastTab are described in the following table.
Field | Description |
---|---|
Print long Invoice List | If selected, a long, detailed invoice list will be printed, showing all documents. If this option is not selected, a short, less detailed list is created, in which only the total sum is displayed. |
Invoice List Address Type | Here you can set which address should appear on the invoice list. The options are: - Buyer - Select this option to print the address of the buyer on the invoice list, i.e. from the Sell-to Customer of the documents. - Invoice receiver - Select this option to print the address of the invoice receiver on the invoice list, i.e. from the Bill-to Customer of the documents. |

This means that you must also calculate all items you deliver so that the application generates a suitable delivery note for the invoice, which is then transferred to your partner. The delivery note number for an invoice can also be subsequently entered in the invoice. |
