Follow-up Invoices
If changes need to be made to a finished Rental Contract (fully invoiced and returned), a follow-up invoice allows you to create additional invoices to adjust previous charges, such as increases to Rate Unit Prices, based on the prices from the Rental Ledger Entries. This means that you can make changes based on the posted entries as opposed to the Rental Contract lines.
For example, an item was rented for several months and invoiced with a Rate Unit Price of 100. For one month, it should have been 125. A follow-up invoice can be created for that specific Rental Ledger Entry with a Rate Unit Price of 25, which increases the price; entering 125 would mean an additional 125 would be invoiced. A new Rental Ledger Entry for that rental item with a price of 25 will be created when invoiced.
Multiple follow-up invoices can be created for a Rental Contract as long as there are no open Rental Ledger Entries.
Notă
Any adjustments to reduce a previous invoice should be handled in a credit memo or with a loss, not a follow-up invoice.
To create a follow-up invoice for additional invoicing
- Open the fully invoiced and returned Rental Contract.
- On the Actions menu, choose Functions > Create Follow-Up Invoice.
- Choose the Yes button in the creation confirmation message.
- A message opens stating that the follow-up document was created and asks if you want to open the invoice. Choose the Yes button to open it.
Alternatively, you can close this message by choosing the No button and open the invoice later by choosing Documents > Invoices on the Related menu. - The Rental Invoice opens with the header information from the Rental Contract and the lines from the Rental Ledger Entries.
Make any changes as needed for the additional invoice. - On the Home menu, choose the Post action.
- Go back to the Rental Contract.
- On the Lines FastTab, choose Line > Related Information > Rental Ledger Entries to view the new rental ledger entries from the invoice posting.
