Rental Loss Worksheet
The Rental Loss Worksheet can be accessed:
- using Tell Me to post losses for multiple contracts at once. Choose the
icon, enter Rental Loss Worksheet, and then choose the related link.
- on a Rental Contract header and line level by choosing:
- Functions > Loss Worksheet on the Actions menu to filter on all Rental Status Lines for all Rental Contract lines.
- Functions > Loss Worksheet on the Lines FastTab to filter on all Rental Status Lines and attached rate parts for the current Rental Contract line.
- on the Rental Status Lines page by choosing the Rental Loss Worksheet action to filter on only that status line.
Losses can be assigned to a Rental Contract line once it has been shipped.
The fields on the Rental Loss Worksheet page are described in the following table.
Section | Field | Description |

Header | Start Date / End Date | Specifies the date range of the rental loss, which also applies a filter to only show the lines that fit into the date range for at least one day. Therefore, it is possible that some of the filtered Rental Contract lines will start or end outside of these date ranges. In these cases, the actual shipment/return dates in the Rental Status Lines page are used as the start/end date of the posted loss. For example, a loss from February 1 – February 15 is entered in the Rental Loss Worksheet header. A Rental Contract with Shipment/Receipt Date of January 1 – February 28 as well as a Rental Contract with a Shipment Date of February 13 are included in the filtered Rental Loss Worksheet lines because the time period of the loss falls within the rental periods. If these Rental Contracts are selected for loss posting, only a loss for February 1 – 15 will be posted for the first Rental Contract and only a loss for February 13 – February 15 will be posted for the second Rental Contract. These dates can be populated from the shipment and receipt date fields in the Rental Loss Worksheet lines using the Copy Dates function. |

Loss % | Indicates the percentage of the amount to be credited. On the resulting Rental Ledger Entries, the Discount % field will be calculated as 100 - Loss %. Defaults from the Reason Code but can be changed. NOTE: It is possible to post a zero loss in cases where no credit memo or invoice credit line is required; therefore, a new and closed Rental Ledger Entry will be created with a zero amount. |

Lines | Selected | Determines if the rental position will be included in the loss. |
Bill-to Customer No. | Indicates the bill-to customer from the Rental Contract; this field is only visible when the Rental Loss Worksheet is opened using the Tell Me feature. | |

Credit Memo | Determines if posting the line(s) will generate an instant rental credit memo instead of a credit in the rental invoice line later. NOTE: In addition to using this setting to determine the type of loss document, the checkbox is automatically selected for Rental Ledger Entries that are completely invoiced (Open = not selected) and cannot be changed. |

Maximum Quantity | Indicates the maximum possible rental item or rate part quantity as per the Rental Status Line. | |
Selected Quantity | Indicates the number of units that need to be included in the loss posting. |
