Customers
Renting is always processed with a customer. To ship a rental item to a customer, a customer location must be assigned in the Customer Location Code field on the sales line. This Location Code describes the place where the item is located during rental (with the customer).
In the Customer Card, a location can be specified on the Rental FastTab for the default rental location and for the customer location.
For each customer location, an entry in the Inventory Posting Setup is required. In addition, the Transfer Routes from Rental Locations to Customer Locations and back must be inserted. These processes can be done manually or automatically using the Create Customer Location function.
Create Customer Location Function
The Create Customer Location function creates a customer location using the information from the customer and assigns it to the customer record. In addition, this function automatically creates the Inventory Posting Setup and the Transfer Routes that are needed from the new location code to all existing Rental Location Codes that exist at that time.
- Choose the
icon, enter Customers, and then choose the related link.
- Open the customer card.
- On the Actions menu, choose Rental > Create Customer Location.
- A confirmation message opens, stating that the customer location was created, and does the user want to open it. Choose the Yes button to open the Location Card or choose the No button to close the confirmation message.
The results from creating the customer location are:
- On the Location Card, the code is the same as the customer number, the Use As - Rented toggle is turned on, and the address and communication information is transferred from the customer card.
- On the Customer Card, the customer location is assigned in the Customer Location Code field on the Rental FastTab.
- The Inventory Posting Setup is completed for the customer location using the Inventory Posting Setup information specified in the Def. Invt. Post Setup Location field on the Rental Setup page.
- The Transfer Routes are set up for the rental and customer locations, using the In-Transit Location specified in the Def. In-Transit Location Code field on the Rental Setup page.
Create Customer Location for Ship-to Addresses
If a customer has a Ship-To Address, then this customer location must be assigned in the Customer Location Code field on the sales line. This location identifies the place where the item is located during rental (with the customer). This location has the same inventory posting setup and transfer route setup requirements.
You can use the Create Customer Location function to create the location and then when asked to open the Location Card, change the location to the ship-to address. In the Ship-To Address page, fill in the Rental Location Code and the Customer Location Code fields. Ensure that these fields are also populated on the Rental FastTab in the Customer Card.
Self-Insured Customers
Customers who have their own insurance can be specified as Self-Insured on the Rental FastTab of the Customer Card.
When this toggle is turned on, Rent Rate Components with Usage = Insurance will not be included in the rental documents for the customer. For more information, see Self-Insured Customers.
Internal Customer
An internal customer is used with service/maintenance; any customer defined for this purpose must have the Internal Customer toggle turned on in the Rental FastTab.
Combine Rental Invoices
Determines if multiple rental contracts for this customer can be combined into a single invoice for a single time period when the Create Rental Invoices batch job is run. For more information, see Combine Rental Contracts for Invoicing.
Deposit Mandatory
Determines whether the customer is required to pay deposits on rental items that have been set up as such. If this toggle is turned on, the Deposit checkbox on Rental Contract lines cannot be cleared. For more information, see Deposits.
New Document Menu
The actions on the New Document menu relating to COSMO Rental are described in the following table.

Bacsis
Create the customer location prior to creating the rental documents; otherwise, the default customer location specified in Rental Setup will be assigned to the new document.
