Item Shipment Preconditions

Item Shipment Preconditions can be entered on Items/Machines as either confirmations (e.g., allow for transport of dangerous goods, valid age for driving trucks) or messages (e.g., where to find information in the truck). Once defined, the shipment preconditions are shown when shipping the rental item/machine to the customer.

If a precondition has been defined for a confirmation, a Name or Name/Date of Birth must be entered before the shipment can be posted. Precondition messages open prior to posting but require no action.

Notă

If the preconditions are missing or do not meet minimum requirements, the shipment can continue with a confirmation message.

Example – Ship item with preconditions

For legal purposes, a machine can only be used by machine operators who are at least 18 years old. Prior to shipping this item to a customer, the name and date of birth of the person who will be operating the machine must be entered in the Shipment Preconditions page. This item also includes some information that needs to be relayed to the customer.

When a customer calls to rent the machine, they are asked to provide the name and date of birth of the machine operator. John – born February 05, 2005 – was one of the people scheduled to operate the machine. Since he has not yet turned 18, the date is shown in red. While the date can be overridden and the shipment processed, the customer provides the name of the other person, Michael, who was born May 16, 1997.

Review the preconditions and machine requirement

  1. Choose the Lightbulb that opens the Tell Me feature icon, enter Rental Preconditions, and then choose the related link.
  2. Notice that there is a certificate with Action Type = Message and driving license with Action Type = Confirmation that requires name and date of birth.
  3. Choose the Lightbulb that opens the Tell Me feature icon, enter Machine Types, and then choose the related link.
  4. Open the machine that requires preconditions.
  5. On the Related menu, choose Rental > Rental Preconditions.
  6. Notice that both preconditions were assigned to the machine.

Create the rental contract

  1. Insert a new Rental Contract for the customer.
  2. In the Rental Billing Unit field, enter MONTHS.
  3. In the Rental Start Date field, enter 2/1/2022.
  4. In the Rental End Date field, enter 2/28/2022.
  5. In the Invoice Period field, select Month.
  6. On the Lines FastTab, enter the machine number.
  7. In the Quantity field, type 1.

Create the shipment and enter precondition

  1. On the Home menu, choose the Create Shipment Transfer Orders action and then choose the OK button to close the confirmation message.
  2. On the Home menu, choose the Transfer Orders action.
  3. Open the shipment transfer order.
  4. Turn on the Direct Transfer toggle.
  5. Assign the serial number of the shipment for the item if required.
  6. On the Home menu, choose the Post action and then choose the OK button in the confirmation message.
  7. Upon posting the shipment, the Shipment Preconditions page opens with both preconditions.
  8. Read the message about the machine to the customer.
  9. On the line for the driving license, enter John's name in the Confirmation Name field and 2/5/2005 in the Confirmation Date of Birth field.
    Notice that the date changed to red italics, which happened because he is not yet 18 years old.
  10. Change the Confirmation Name field to Michael's name and the Confirmation Date of Birth field to 5/16/1997.
    Notice that the date appearance does not change because he meets the age requirement.
  11. Choose the OK button to ship the machine.

Review the shipment precondition logs

The Item Shipment Precondition Log is available for the rental contract and item/machine.

  1. On the Rental Contract, choose Documents > Precondition Log on the Related menu.
    The Item Shipment Precondition Log page opens with the two precondition entries.
  2. Close the Item Shipment Precondition Log page.
  3. In the Rental Line Details FactBox, choose the value in the Item No. field.
  4. In the Machine Type Card page, choose Rental > Item Shipment Precondition Log on the Related menu.

  5. Close the Item Shipment Precondition Log page.
