Combined Trading Unit Administration
The Combined Trading Unit Administration function changes the following information for all Trading Units of a Lot in one step in the Lot-/Serial No. Administration page:
- Status (Lot/SN)
- Expiration Date
- Quarantine Date
- Retest Date
- External Lot No.
If the Combined Trading Unit Administration toggle is turned on in the Quality Assurance Setup page, then an extra record will be created for the Lot with an empty Trading Unit No. in the Lot No. Information table, and visualized in the Lot-/Serial No. Administration page. This record is used to enter changes and compare to the information in the other lines because only Trading Units that have the same Status (Lot/SN), Expiration Date, Quarantine Date, Retest Date, or External Lot No. as this extra record will be changed (see example below for more information). Therefore, on the extra record, you can change the value of the noted fields and then enter the value to change in the New ... fields. For example, to change the Expiration Dates, you enter the dates to change in the Expiration Date field and then enter the new date in the New Expiration Date field.
On the extra record in the Lot-/Serial No. Administration page, the Quantity field is automatically populated with the entire Lot quantity when a value is entered in the fields to change. When the entry is posted, each trading unit that matches the changed value is updated with the selection entered in the extra record.
Note
You can only change one of the noted fields in the extra record at a time; for example, post a status change and then post a quarantine date change, etc.
To allow a mass update that is only filtered by Item, Variant, and Lot No. Trading Unit., use the Personalize feature to show the Combined Trading Unit Selection field in the Quality Assurance Setup page and then choose the All option.
Example - Post Status and External Lot No. Changes
The following example shows a Lot that has the extra record and four trading units, for a quantity of 25. Two of those trading units (002 and 003) did not pass testing and were previously set to BLOCKED. The other trading units did pass testing and were previously changed to RELEASED. Now the blocked trading units (002 and 003) are in the process of being retested so the status needs to change. Therefore, the Status (Lot/SN) field is set to BLOCKED and the New Status (Lot/SN) field is set to IN TEST on the extra record. The Quantity field is automatically set to 100.
Lot No. | Lot No. Trading Unit | Trading Unit No. | Quantity | Status (Lot/SN) | New Status (Lot/SN) |
---|---|---|---|---|---|
LOT0050 | LOT0050 | 100 | BLOCKED | IN TEST | |
LOT0050-001 | LOT0050 | 001 | 25 | RELEASED | |
LOT0050-002 | LOT0050 | 002 | 25 | BLOCKED | |
LOT0050-003 | LOT0050 | 003 | 25 | BLOCKED | |
LOT0050-004 | LOT0050 | 004 | 25 | RELEASED |
When the change is posted, the Status (Lot/SN) of the trading unit lines is compared to the Status (Lot/SN) in the extra record. Only those that match the extra record status will be updated with the new status. Therefore, the Status (Lot/SN) is changed to TESTING for trading units 002 and 003 because the Status (Lot/SN) of those lines matched the Status (Lot/SN) of the extra record. No change is made to 001 and 004 because the status did not match. The status is changed to IN TEST on the extra record as well and the Quantity field is reset to 0.
Lot No. | Lot No. Trading Unit | Trading Unit No. | Quantity | Status (Lot/SN) | New Status (Lot/SN) |
---|---|---|---|---|---|
LOT0050 | LOT0050 | 0 | IN TEST | ||
LOT0050-001 | LOT0050 | 001 | 25 | RELEASED | |
LOT0050-002 | LOT0050 | 002 | 25 | IN TEST | |
LOT0050-003 | LOT0050 | 003 | 25 | IN TEST | |
LOT0050-004 | LOT0050 | 004 | 25 | RELEASED |
Next, an External Lot No. needs to be added to all trading units. The External Lot. No. field is left <blank> on the extra record because there none has been assigned to the trading units. The New External Lot No. field is set to L-00500-00 and the Quantity field is automatically updated to 100.
Lot No. | Lot No. Trading Unit | Trading Unit No. | Quantity | External Lot No. | New External Lot No. |
---|---|---|---|---|---|
LOT0050 | LOT0050 | 100 | L-00500-00 | ||
LOT0050-001 | LOT0050 | 001 | 25 | ||
LOT0050-002 | LOT0050 | 002 | 25 | ||
LOT0050-003 | LOT0050 | 003 | 25 | ||
LOT0050-004 | LOT0050 | 004 | 25 |
When the change is posted, the External Lot No. of the trading unit lines is compared to the External Lot No. in the extra record. Since the External Lot No. was also <blank> on all lines, the External Lot No. is changed to L-00500-00 for all trading units. The External Lot No. is changed to L-00500-00 on the extra record as well and the Quantity field is reset to 0.
Lot No. | Lot No. Trading Unit | Trading Unit No. | Quantity | External Lot No. | New External Lot No. |
---|---|---|---|---|---|
LOT0050 | LOT0050 | 0 | L-00500-00 | ||
LOT0050-001 | LOT0050 | 001 | 25 | L-00500-00 | |
LOT0050-002 | LOT0050 | 002 | 25 | L-00500-00 | |
LOT0050-003 | LOT0050 | 003 | 25 | L-00500-00 | |
