Construction Diary
Daily logging of construction progress, weather, attendance, and equipment is possible in the Construction Diary, which is based on the daily construction report.
Construction Diaries are accessible from the Tell Me feature or the individual Construction Projects by choosing the Construction Diaries action on the Related menu.
You can have multiple Construction Diaries for a construction project and for the same job number.
Construction Diary Page
The Construction Diary provides an overview of the construction project and maintains the various construction diary reports.
General FastTab
The fields on the General FastTab of the Construction Diary page are described in the following table.

Construction Reports FastTab
The Construction Reports FastTab shows the No., Index, Date, Working Time From, Working Time To, Status, and No. of Incidents from each Diary Report Card created for the construction diary.
The actions on this FastTab allow you to edit, view, create, or print the related Diary Report Cards.

Diary Report Card
The fields on the Diary Report Card are described in the following table.

Send by Email | Opens the Diary Report page for preparing to send the Construction Diary Report as an email attachment. After choosing whether to include subcontractors and/or equipment and then choosing the OK button, the request page opens for sending the email, prefilled with the customer's email address so you can add or edit information. The Use for Email Attachment checkbox must be selected in the Project Construction Report Selections page for the Construction Diary Report setting. Employees FactBox
The Employees FactBox shows all employees entered in the Employees FastTab and the number of hours on the construction site, minus breaks and absences.
Incidents FactBox
The Incidents FactBox shows the incident type, description, and due date from assigned incidents. For more information, see Incident Management.
Signature Contractor FactBox
Once the Diary Report Card is released, the contractor can digitally sign the report using either a touch screen or a mouse by choosing the Enter Signature action from the drop-down arrow. The entire signature can be cleared or the last touch/mouse movement undone if needed. Once satisfied with the signature, choose the Save Signature action. The signature is visible in the FactBox and the Contractor Sign. User ID and Contractor Sign. Timestamp fields are updated with the user ID and time of signature.
Signature Customer FactBox
Once the Diary Report Card is released, the customer can digitally sign the report using either a touch screen or a mouse by choosing the Enter Signature action from the drop-down arrow. The entire signature can be cleared or the last touch/mouse movement undone if needed. Once satisfied with the signature, choose the Save Signature action. The signature is visible in the FactBox and the Customer Sign. User ID and Customer Sign. Timestamp fields are updated with the user ID and time of signature.
To create and sign a construction diary
- Open the Construction Diaries list from Tell Me or the Construction Project.
- Choose the New action and then press Enter.
- If opened from the Construction Project, the construction project number and job number are copied over. If not, fill those fields in with the relevant construction project and job numbers.
- In a responsible number, site manager number, and foreman number.
- In the Construction Reports FastTab, choose the New action.
The Diary Report Card opens. - In the Day FastTab, enter the date and working start and end time.
- In the Weather FastTab, enter the current weather conditions for the day at the particular time.
- In the Employees FastTab, enter all of the employees at the construction site as well as their working/breaks/absence times.
- In the Subcontractors FastTab, enter any subcontractors and the number of their employees at the construction site.
- In the Equipment FastTab, enter all of the equipment at the construction site as well as where, who owns it if 3rd party, the time it was there and any non-working hours (downtime).
- Choose the Release Diary Report action.
- Notice that the Status has changed to Released and the No. of Employees and No. of Subcontractors fields are updated in the General FastTab with the values in the Employees and Subcontractor FastTabs.
- If you need to make any changes to the diary, choose the Reopen Diary Report action.
- Depending on if you are the contractor or customer (or both), choose the drop-down arrow in the Signature Contractor and/or Signature Customer FactBox and then select Enter Signature.
- In the Signature Pad page, use your touch display or mouse to sign your name.
- If you are unhappy with the entire signature, choose the Clear action. If the signature has multiple segments, choose the Undo action to undo the last segment.
- When you are satisfied with the signature, choose the Save Signature action.
- Choose the OK button to save the signature.
- Notice that the signature is shown in the relevant FactBox along with the user ID and time stamp.
- Print or email the diary as needed.
Diary Report Revision
You can make revisions to an existing diary report without changing the original diary report by using the Create Report Revision action. This action creates a copy of the original diary report with an automatically generated Index number, which will increment any time a revision is created for the diary report. Therefore, you can maintain a list of all revisions to a specific diary report while still having the ability create new, separate diary reports for a construction project.
All information except contractor and customer signatures are copied to the diary report revision; incidents are moved to the current diary report
- Open a Diary Report Card that needs a revision.
- On the New menu, choose the Create Report Revision action.
A new Diary Report Card opens with the Index field populated (if the first revision, then the value will be 1) with Status = Open. - Make changes as needed and then release the Diary Report Card.
- Obtain contractor and customer signatures as previously described.
