Lump-sum Invoicing
To invoice lump-sum amounts, the Contract Type field must be set to Lump-sum Contract.
To create the construction invoice plan
- Open the job that needs the Construction Invoice Plan.
- Open the BoQ Budget Calculation and create the WBS position for the invoicing entries.
- For purchases, open the Job Planning and Processing and create the job procurement number.
- Go back to the job card.
- On the Related menu, choose Construction Invoicing > Construction Invoice Plan Sales or Construction Invoice Plan Purchase.
- Choose the Yes action to create a new invoice plan.
- Fill in the General FastTab, being sure to assign the WBS position in the WBS field, choose the Contract Type = Lump-sum Contract and enter the total value to be invoiced in the Order Value (LCY) field.
- If using standard deductions, enter the template(s) in the Deduction Template Down Payment and/or Deduction Template Final Invoice fields. Otherwise, leave these fields empty and individual calculations can be done in the lines.
- In the Status field, choose Released.
To add lines to the construction invoice plan
Lines can be added manually or automatically from a template.
To add lines manually
- In the Invoice Plan Lines FastTab, select the relevant invoice process in the Type field.
- In the No. field, enter a unique number for the process.
- In the Description field, enter a brief description of the process.
- In the Planning Date field, enter the date the process is planned.
- In the Payment % field, enter the percentage of the order value to be calculated as the net amount. Alternatively, enter the full amount to be invoiced in the Net Amount (LCY) field.
- If adding deductions, choose the empty Net Deductions (LCY) field or choose Line > Deduction Calculation on the Invoice Plan Lines FastTab to open the Deduction Calculation page. For more information, see Calculate Deductions.
- Go to the next line and repeat steps 1-6 as needed.
Note
The value in the No. field is increased by one in all new lines.
- If creating Down Payment or Final Invoice lines, you must fill in the Predecessor Down Payment No. and Net Deductions (LCY) fields after entering the Planning Date:
- In the Predecessor Down Payment No. field, enter the value from the No. field in the previous line.
- In the Payment % field, enter the percentage of the order value to be calculated as the net amount. Alternatively, enter the full amount to be invoiced in the Net Amount (LCY) field.
- Enter the value in the Net Deductions (LCY) field from the Net Amount (LCY) from the previous line by:
- Choosing the empty value or choose Line > Deduction Calculation on the Invoice Plan Lines FastTab. The Deduction Calculation page opens.
- If a template is not set up with this calculation, then enter a row with Totaling Type = Minus Net Amount. For more information, see Calculate Deductions.
- Choose the Calculate action to view the calculated value.
- In the General FastTab, ensure that the Net Deduction Row No. field is set to this row number.
- Choose the Transfer Value action.
- Close the Deduction Calculation page.
To add lines with a template
- Choose the Get Invoice Plan Template action.
- Choose the template.
- Choose the OK button.
- Update the lines as needed using the descriptions in To add lines manually.

To create invoice/credit memo
Invoices and credit memos are created by choosing the Release Line action on the Process menu in the Invoice Plan Lines FastTab.
Note
For Down Payment or Final Invoice lines, ensure that a sales order has been created for the associated WBS position in the BoQ Budget Calculation or a purchase order has been created for the associated WBS position and Job Procurement No. and assigned to the Sales Order No. or Purchase Order No. field in the General FastTab.
- Select the line to invoice or credit.
- If Type = Down Payment or Final Invoice, enter the sales order in the Sales Order No. field or the purchase order in the Purchase Order No. field.
- In the Posting Date field, enter the date the invoice or credit memo will be posted.
- On the Invoice Plan Lines FastTab, choose Process > Release Line.
- Choose the Yes button to release the selected line.
The status of the line is changed to Released and the unposted invoice or credit memo is created. - Choose the Yes button to open the created invoice or credit memo.
- The invoice or credit memo has the job line information and uses the component attached to the WBS position. The Description matches the description from the invoice plan line or is Net Amount (LCY) if no description was entered and the unit price is set to the value from the Construction Invoice Plan line for a Quantity of 1. If there are deductions, a second line is added with a Quantity of -1 for the deducted amount.
- The Construction Invoicing FastTab has the Invoice Plan No., Invoice Plan Line No., and Invoice Plan Line Type fields for reference to the originating Construction Invoice Plan. These fields are also on the Posted Sales Invoice and Posted Credit Memo or Posted Purchase Invoice and Posted Credit Memo.
- On the Home menu, choose the Post action.
- Choose the Yes button to post the invoice or credit memo.
- Go back to the Construction Invoice Plan.
- Notice that the line status is set to Released, the Amount Invoiced (LCY) is updated with the invoice amount, and the Posted Invoice No. or Posted Credit Memo No. field is updated with the posted amount. Additionally, the Total Amount Invoiced (LCY) and Remaining Value (LCY) fields are updated in the General FastTab.
- If the Construction Invoice Plan is for Type = Down Payment or Final Invoice, then repeat these steps for the remaining down payment and final invoice entries.
Note
If the order value has been completely invoiced, new invoice or credit memo entries will have no effect on the values in the Total Amount Invoiced (LCY) or Remaining Value (LCY) fields in the General FastTab. If not completely invoiced, new invoices or credit memos will affect these fields.
Example – Processing down payments in lump-sum contracts with cumulative invoicing
A construction project has a value of 50000. The contract requires an initial 10% down payment on November 30th and then another 25% a month later. The final invoice is due on January 31st for a total of 37500.
The Construction Invoice Plan Sales is set up for cumulative invoicing for an order value of 50000. Sales order SO10050 is created for the WBS position. The lines are set up as shown in the following table.

First Down Payment Invoice
When the first line is invoiced, the invoice has one line:
First down payment 10% for the down payment of 5000 for a quantity of 1.
After posting, the Amount Invoiced (LCY) field in the line is set to 5000. In the General FastTab, the Total Amount Invoiced (LCY) field is set to 5000 and the Remaining Value (LCY) field is set to 45000. Additionally, the Posted Invoice No. field in the line is updated with the number of the posted sales invoice.
Second Down Payment Invoice
When the second line is invoiced, the invoice has two lines:
- Second down payment 25% for the down payment of 12500 for a quantity of 1.
- Net Deductions (LCY) for the previous down payment of 5000 for a quantity of -1.
After posting, the Amount Invoiced (LCY) field in the line is set to 7500. In the General FastTab, the Total Amount Invoiced (LCY) field is set to 12500 and the Remaining Value (LCY) field is set to 37500. Additionally, the Posted Invoice No. field in the line is updated with the number of the posted sales invoice.
Final Invoice
When the third line is invoiced, the invoice has two lines:
- Project completion for the complete order value of 50000 for a quantity of 1.
- Net Deductions (LCY) for the previous down payments of 12500 for a quantity of -1.
After posting, the Amount Invoiced (LCY) field in the line is set to 37500. In the General FastTab, the Total Amount Invoiced (LCY) field is set to 50000 and the Remaining Value (LCY) field is <Blank>. Additionally, the Posted Invoice No. field in the line is updated with the number of the posted sales invoice.
Example – Processing down payments in lump-sum contracts with standard invoicing
A construction project has a value of 50000. The contract requires an initial 10% down payment on November 30th and then another 25% a month later. The final invoice is due on January 31st for a total of 32500. There are no special deductions for this invoice.
The Construction Invoice Plan Sales is set up for standard invoicing for an order value of 50000. Sales order SO10060 is created for the WBS position. The lines are set up as shown in the following table.

Second Down Payment Invoice
When the second line is invoiced, the invoice has one line:
Second down payment 25% for the down payment of 12500 for a quantity of 1.
After posting, the Amount Invoiced (LCY) field in the line is set to 12500. In the General FastTab, the Total Amount Invoiced (LCY) field is set to 17500 and the Remaining Value (LCY) field is set to 32500. Additionally, the Posted Invoice No. field in the line is updated with the number of the posted sales invoice.
Final Invoice
When the third line is invoiced, the invoice has one line:
Project completion for the remaining order value of 32500 for a quantity of 1.
After posting, the Amount Invoiced (LCY) field in the line is set to 32500. In the General FastTab, the Total Amount Invoiced (LCY) field is set to 50000 and the Remaining Value (LCY) field is <Blank>. Additionally, the Posted Invoice No. field in the line is updated with the number of the posted sales invoice.
