Create Sales Quotes
In this section, Sales Quotes are created for fixed price orders, invoicing from the Job, and are updated with Optional and Alternative positions and then the Rolling Calculation is reviewed.
Example – Create a Sales Quote for Fixed Price Orders
The job lines to be included in the sales quote must be highlighted, and the line(s) that contain the pricing must have a Sales Code assigned.
A fixed price sales quote is to be created for a line. With an assigned Sales Code set up with a fixed price Sales Channel, the fixed price quote will be invoiced directly by posting the sales order – it cannot be invoiced from the job.
To create a sales quote for a fixed price order
Choose the icon, enter Projects, and then choose the related link.
Locate and open the job for which the quote is to be created.
On the Home menu, choose the Budget Calculation action.
Select the position(s) for which the quote is to be created.
On the Home menu, choose the Create Sales Quote action.
A dialog box opens; select the correct option:
- Current line – only the selected line is included on the quote
- Current line + sub-structure – the selected line and related positions/levels are included on the quote
- All lines – all lines are included on the quote
- Selected lines – only selected lines are included on the quote
Choose the OK button.
Depending on the setting in the Credit Warnings field in the Projects Setup page, a credit check message could open if the customer's credit limit has been exceeded. Choose the Yes button to continue creating the sales quote.
Depending on the setting in the Set Job Status Quote field in the Projects Setup page, a message could open if the Status field in the Project Card is not already set to Quote. Choose the Yes button to change the status.
If COSMO Project Manufacturing is set up to create versions with new quotes, a message will open asking to create a new version for the job with a link to the quote. Choose the Yes or No button, depending on business processes.
A message opens asking to budget all sales positions. Choose the Yes or No button, depending on business processes.
The Sales Quote opens based on the previously selected job position(s).
This quote can be edited and processed as normal.
Note
Changes made on the Sales Quote will not be reflected in the Job; such changes must be made manually.
Components without a Sales Code are only shown with the respective unit or quantity. For calculation lines without components, only the Description will be transferred.
In the Job Budget Calculation page, the selected lines indicate that a Sales Quote has been generated.
Tip
Sales Order follow similar steps; rather than choosing the Create Sales Quote action on the Home menu, choose Sales Order > Create Sales Order on the Actions menu.
Example – Create a Sales Quote for Invoicing from Job
In the previous example, a fixed price sales quote was created from the Budget Calculation, which was set up for direct posting from the sales order. This section explains how to create a sales quote that begins the invoice process from the job by using the Job Invoicing Planning and Job Invoicing Release batch jobs.
To create a sales quote for invoicing from the job
Choose the icon, enter Projects, and then choose the related link.
Locate and open the job for which the quote is to be created.
On the Home menu, choose the Budget Calculation action.
Select the position(s) for which the quote is to be created.
On the Home menu, choose the Create Sales Quote action.
A dialog box opens; select the correct option:
- Current line – only the selected line is included on the quote
- Current line + sub-structure – the selected line and related positions/levels are included on the quote
- All lines – all lines are included on the quote
- Selected lines – only selected lines are included on the quote

A resulting order cannot be posted directly; the invoicing will be controlled by the Job Invoicing function.
Update Sales Quote Positions
After creating a sales quote, and during the negotiation process, it may be necessary to change the calculation to win the order. Changed job lines can automatically update the attached sales quote line(s) using the Update Sales Quotes function.
Once the line(s) are updated, highlight the lines on the Job Budget Calculation page and then choose Sales Quote > Update Sales Quote on the Actions menu.
In the dialog box, choose the OK button and then choose the Yes button to modify the sales line. In the Job Budget Calculation page, choose the Yes value in the Sales Quote field for any of the selected lines to view the updated Sales Quote.
Rolling Calculation after Creating Sales Quotes
Based on the sales quotes created in the previous sections, the Job Rolling Calculation page is updated. The Job Rolling Calculation page is accessed from the Project Card or Job Budget Calculation by choosing the Rolling Calculation action on the Processing menu.
The three most important amounts from the Job Budget Calculation are shown in the following fields:
- Total Direct Cost Budget (LCY)
- Total Cost Budget (LCY)
- Sales Line Amount Budget (LCY)
If a Quote and/or Order exist on a line, choose the Yes value in the Sales Quote or Sales Order fields to open the sales document.
